Race simulator rental in Washington DC

In shortWashington DC gives two of your full-time employees one hour to set a booth larger than 10 by 10, and almost everything else belongs to a union, an exclusive contractor or the fire marshal. The market's other major venue sits in Maryland, under a different fire department, in a hotel that supplies every extension cord itself.

We ship rigs into Washington DC and staff them. Freight is inside the quoted price.

DC is a jurisdiction market. Carpenters, Teamsters, riggers and a set of exclusive providers divide the convention center between them, and the documents that explain it still carry another city's names, a bus line that stopped running in 2024 and a marshaling yard on the campus of a stadium that has since been demolished.

Jurisdiction

One hour for your staff, the rest to the carpenters

The official service contractor's work rules for two recent shows at the Walter E. Washington Convention Center, the 2025 AAOMS Annual Meeting and the 2026 AUA Annual Meeting, carry identical labor language, and a different contractor's union regulations for Neuroscience 2023 in the same building say the same thing. Three documents, two contractors, one rule.

Installation and dismantling of prefabricated displays belongs to the carpenters' union, including signs and laying carpet. Two full-time employees of the exhibiting company may work without carpenters for one hour on move-in and one hour on move-out, on booths larger than 10 by 10. Booths of 10 by 10 or smaller are exempt. No power tools on a booth of any size.

Then the clause that matters most for a simulator. No union labor is required for unpacking and placing your product, or for equipment tuning and calibrating, provided the people doing it are the exhibitor's full-time permanent employees. Our technicians are not your employees. So both allowances belong to your payroll, and in DC our crew works as an exhibitor appointed contractor: written notice to show management and the official contractor at least 30 days before the first move-in day, and a certificate of insurance on file at least 10 days before it.

From the official service contractor's work rules for a 2025 and a 2026 show at the convention center, another contractor's 2023 union regulations for the same building, and the venue's exhibitor services, service partner, policy and food pages, verified 11/04/2026.

Rules travel with the contractor. The 2023 show's contractor billed double time from 8:30 PM on weekdays and all weekend. The 2026 show's contractor defines weekends as overtime. Same building, different invoice. If you are producing your own event here rather than exhibiting, you are show management, and the last row is yours.

Electrical

One exclusive for power, and five ways it becomes labor

Hi-Tech Electric was chosen as the convention center's exclusive electrical contractor in 2003, the year the building opened, and the venue names it today as the exclusive electrical and plumbing contractor. Every exhibit hall is fed from floor boxes on 30 foot centers carrying 120/208 volt single and three phase.

Hi-Tech's exhibitor guidance does not say an exhibitor may plug in, and does not say an exhibitor may not. It publishes triggers, and a simulator build meets most of them:

  • Island booths: power to one main drop, minimum one hour of labor per technician. A multi-sim build is usually an island.
  • Multiple outlet locations: labor, one hour minimum per technician.
  • A 208 volt motor and equipment outlet: labor to configure the connection. A motion platform is a motor.
  • A dedicated 20 amp outlet: may incur labor and materials.
  • Any change on site: moving or adding an outlet after installation is labor.

Dismantle is billed at half of the total installation charge on every booth with an installation work order.

The sequencing trap. Island power is switched off after it is installed and tested, and it is energized only after your carpet is down. In DC, carpet is carpenters' work. So an island simulator cannot be powered and tested until the electrician runs the drop, the carpenters lay the floor and the electrician comes back. Solve that on the schedule, not on the floor.

Cords and power strips not supplied by Hi-Tech are inspected and may never run under carpet. The official contractor's 2026 portal adds that labor is required to inspect and hook up pre-wired equipment, and that plugging into facility outlets is prohibited.

Why a DC total can arrive on more than one invoice. Hi-Tech wants full payment when you order, takes no purchase orders, and holds the exhibitor responsible if a named third party does not pay. Labor and drayage come separately from the official contractor. The client supplies power, and here that means an order with Hi-Tech.

Contradictions

Copied documents: another city's names on a DC show

The labor rules in DC are consistent. The documents around them are not, and several were plainly built from templates for other buildings.

From the venue's policy, exhibitor services, FAQ and getting-there pages, two contractors' show documents for this building, the exclusive electrical contractor's site and local news coverage of the transit change, all live documents, verified 11/04/2026.
QuestionWhat the live documents sayWhat we plan to
Wheels on hand-carryThe venue lists portable displays on wheels and small luggage racks as acceptable hand-carry. The contractor's 2025 and 2026 work rules: one person, one trip, no dollies or hand trucksNo wheels. The contractor controls the dock and the floor
Who does electricalThe venue and the 2026 portal name Hi-Tech Electric. The same portal's generic electrical page says all connections must be made by the contractor's own electricianHi-Tech governs. We read the generic page as a preview of what gets enforced
Who does riggingThe venue names GLP as exclusive. Hi-Tech's site calls Hi-Tech the exclusive rigging contractor. The 2026 portal lists Hi-Tech Electric GLP at one addressOne order, one contact, and written confirmation of who invoices
Minimum aisle widthThe venue: 10 feet. The contractor's fire regulations: 8 feet unless approved10 feet, with queue lines inside the booth
Move-in lightingThe venue: 50 percent. A 2023 show's guidance: 25 percentThe dimmer figure
Street addressThe venue's footer: 801 Allen Y. Lew Place NW, formerly 801 Mount Vernon Place NW. Its own getting-there page and the electrical contractor's footer still give the old oneNew name on every label, old name in the delivery notes
Which building a manual describesA 2025 show's general information for this building tells contractors to check in at the Orange County Convention Center and exhibitors to plan flights out of San DiegoRead your own manual line by line
Getting there by busThe venue FAQ recommends a Circulator line every 10 minutes. The city ended Circulator service on 12/31/2024Metro, which stops under the building

The gap that matters for a heavy build. The venue's floor plan book counts its service elevators, two east and one west for freight, two more for the ballroom, and publishes no car dimensions or weight capacities. The comprehensive Event Planning Guide is served only in a page-flip viewer we could not extract text from. We ask for elevator figures in writing.

And a small one. The exhibitor services page prints Hall B's theater capacity as 811,982, for a hall of 194,000 square feet.

Load-in

Getting in: M Street, a marshaling yard, and the right hall

Everything comes in off M Street. Trucks enter eastbound, Halls A, B and C at 7th and M, Halls D and E at 9th and M, and every exit is a right turn onto westbound M. Trucks for D and E wait on northbound 9th Street. Docks run 6:00 AM to 9:00 PM daily, adjusted to the contractor's receiving schedule, and if trucks back up into the streets the venue may deploy resources at the contractor's expense.

The venue does not accept freight. Everything is consigned to the official contractor. For the 2026 AUA Annual Meeting, that contractor marshaled at RFK Stadium Lot 8, 2400 East Capitol Street SE, and required every carrier and every privately owned vehicle to check in, weigh in, wait for a dock and return to weigh out. Skip the weigh-out and you may be billed at the heavy weight. Events DC reports RFK demolition complete as of September 2026. We could not confirm where 2027 shows will marshal.

Targets are not set-up times. Freight is targeted by booth number, off-target loads may be refused or surcharged, and the contractor recommends starting installation labor the day after your target. For a rig that also needs a drop, flooring and an energize call, that day is the schedule.

Your own vehicle unloads at a dock bay the contractor designates and never goes on the floor. Exhibitors hand-carry through the 9th Street and Mount Vernon Place entrance, and large cases may not come through the front decorative wooden doors.

From the venue's own floor plan book, which counts service elevators but gives no dimensions, and its exhibitor services page, verified 11/04/2026.
SpaceScale and floorWhat matters operationally
Halls A, B and C, lower level473,000 contiguous sq ft, 350 lb per sq ft39 enclosed docks, three drive-in doors at 25 ft wide by 15 ft high, two overhead doors at 19 by 15. Ceiling mostly 30 ft, but a 10,000 sq ft zone on the south side of Hall A is 12 ft
Halls D and E, level two230,000 contiguous sq ft, 350 lb per sq ft180 ft clear span east to west, ceilings 30 to 50 ft, ten covered docks per hall. Narrower doors: Hall D 16 by 15 ft, Hall E 20 by 15 ft
Ballroom, level three52,000 sq ft, ceilings 40 to 48 ft, 10 ft under balconiesFloor load 100 lb per sq ft, under a third of the halls. Two service elevators, no published dimensions
East and West Salons40,000 sq ft, ceilings 10 to 18 ft, 100 lb per sq ftCarpeted, with 20 amp 120 volt wall outlets at 15 ft centers

The hall floor is bare. The contractor's 2026 portal says the facility is not carpeted and flooring was mandatory, and SfN requires installed flooring across every booth for Neuroscience 2026. With carpet under carpenter jurisdiction, flooring under a simulator is a labor line in DC.

Fire

Fire: a 31 day clock, a 90 day clock and a quarter tank

Floor plans come before booth sales. Diagrams must be approved by the venue's event manager and the DC Fire Department's fire prevention office before show management sells exhibit space. Plans go to the event manager first; the venue says anything sent straight to the fire prevention division by show management is returned unapproved. Submit at least 31 days before move-in to avoid an expedited fee, resubmit revisions 30 days out, pay before review, and expect final approval only after an on-site inspection by the DC Fire Marshal.

Covered or multi-story structures, at any size. Multi-story booths, covered assembly areas and storage closets need audible smoke detectors, a porous roof so the sprinklers can work, a charged 3A40BC extinguisher, and a fire prevention attendant whenever the hall is closed from move-in to move-out. Plans are due 90 days before installation, sealed by a licensed structural engineer or architect. No size threshold is published, so a branded canopy over one simulator is a 90 day item here.

Vehicles on display. Batteries disconnected, no more than a quarter tank or five gallons, whichever is less, fill openings sealed (duct tape is named as acceptable), no fueling inside. Show management obtains a Vehicles on Display permit from the fire department. The contractor's 2026 fire rules agree, let auxiliary batteries not tied to the starter stay connected, and bar combustibles under the car. This is the one rule where every DC document we read agrees.

  • Booths of 600 square feet or more need a 2A:10BC extinguisher, per the DC Fire Marshal as quoted in the contractor's work rules.
  • Six feet clear around every column, 15 feet at entrances and exits, and no point more than 250 feet of aisle travel from an exit.
  • Fog, haze and laser schedules go to the event manager 90 days before move-in.
  • Decor must be flame retardant with certificates on site, and the Fire Marshal tests at random.

We found no rule in any DC or Gaylord document on electric vehicles or lithium packs on display. That is not a permission. We ask.

Sound

55 decibels, and the other floor rules that catch a simulator

The convention center caps booth and event volume at 55 decibels unless it specifically approves more. For a racing simulator that is the most consequential line in the exhibitor rules, because engine audio is much of the experience. We ask show management and the venue for an approved level before contract, and where none is approved the sound has to stay inside the booth, which in practice means headphones.

Wi-Fi will not carry a leaderboard. The complimentary building Wi-Fi is published at 768 kBps download and 768 kBps upload, and Smart City is the exclusive technology provider, so a live results screen runs on a line ordered from Smart City.

  • Adhesive graphics: all adhesive decor and window cling, and its placement, needs approval 30 days before first move-in. Decals may not be handed out, and nothing may be taped or fixed to a permanent surface.
  • Glitter is banned. Helium tanks are not allowed in the building.
  • Art: structures, drape or signage in front of any of the building's more than 130 works need advance approval.
  • The venue's logo needs written consent, and venue photos must credit the photographer and the venue.

One trademark note for anyone theming on the August 2026 race. INDYCAR is a registered trademark of Brickyard Trademarks, Inc., as the series' own site states. Build the livery around the city, not the series mark.

Gaylord National: same market, another state, other rules

Gaylord National Resort and Convention Center sits at National Harbor, Maryland, with 543,889 square feet of event space and a largest room for 10,000. Almost nothing about the DC convention center's rules carries over. Only the official contractor's labor text is identical.

From the hotel's exhibit rules and electrical order document (issued for a 2024 show), the official contractor's 2026 portal and vehicle instructions for a show at the hotel, the hotel's published meeting space chart, and the DC venue's own pages, verified 11/04/2026.

Unloading your own vehicle. Privately owned vehicles use a flat load-in door at the rear of the hall, with a 20 minute limit, one person staying with the vehicle, and check-in with the contractor's dock foreman. A vehicle with a company sticker, a truck of one ton and over, a rental truck or a trailer is not a privately owned vehicle and goes to the main dock. Bellmen and bell carts are not allowed on the exhibit floor.

A contradiction inside one show. The contractor's 2026 work rules for a show at the hotel say no dollies. Its own vehicle instructions for the same show allow a dolly with no more than two wheels. We plan to the work rules.

On cost. The hotel's electrical document adds a 16 percent installation and removal fee and 6 percent Maryland sales tax to every order, and gives two different advance deadlines: 14 days before the first show day on one page, two weeks before move-in on another. It was issued for a 2024 show, so confirm the current version.

The rest of the map, including a stadium that is gone

The convention center's ballroom and salons carry a 100 pound per square foot floor against 350 in the halls. A motion platform upstairs is a point-load conversation, answered in writing before contract.

DC Armory. 70,000 square feet of exhibition space, 10,000 seats and more than 8,000 parking spaces, with esports tournaments among its events. Against a convention center with no public parking, it is the in-city venue in our research that publishes parking.

Capital One Arena. 20,000 seats, home to the Wizards and the Capitals, and grouped by Destination DC with the venues around the convention center for general sessions and product launches.

Nationals Park. 41,418 seats, opened 2008, marketed by Events DC for corporate events as well as game days.

Gateway DC. An Events DC pavilion, part open-air, with 40,400 non-contiguous square feet and a 3,500 capacity. For electronics, the question is weather.

RFK Stadium is gone. Events DC reports demolition complete as of September 2026, while the stadium still appears in its own venue menu. Any kit or freight plan that references it needs checking.

The National Mall is a federal permit. More than 4,000 permitted activities take place there a year. Applications open one year ahead on a first come, first use basis, processing runs from days to months, and a commercial business also needs a Commercial Use Authorization.

Late January is the window to avoid, for dock reasons as much as hotels. The auto show holds the building from 01/22 to 01/31/2027 with two more events inside it and a federal holiday just before. When events share a dock level, the venue's transportation team assigns dock use between them, so your freight window is negotiated against a car show's. Ship to the earliest target.

Mid-April has a DC-only wrinkle. ONS Congress straddles DC Emancipation Day on April 16, and we could not confirm whether either contractor bills it as a holiday. Ask before you schedule a move-in on it.

The race not on this table. The Freedom 250 Grand Prix ran on the National Mall on 08/22 to 08/23/2026. IndyCar's published 2027 schedule has no Washington race.

Destination DC states the convention center is connected to the Marriott Marquis, with more than 7,700 rooms within walking distance. SfN's 2026 list, which tags every hotel walk or shuttle, is the best published map of the rest, and puts sales and occupancy taxes at 15.95 percent per room per night. That is an organizer's figure, so confirm it against your contract.

Logistics

Getting around: Metro under the building, no parking on it

  • Metro stops under the building. Mt. Vernon Square/7th Street-Convention Center on the Green and Yellow lines, with entrances at 7th and M leading directly inside. Gallery Place on the Red Line is about five minutes on foot.
  • Three airports, DCA, IAD and BWI, plus Amtrak at Union Station.
  • No public parking at the convention center. More than 3,000 spaces sit within three blocks, residential parking around the building is heavily enforced, and Destination DC calls street parking extremely limited.
  • The Circulator is gone. Service ended on 12/31/2024. The venue's FAQ still recommends it.
  • Freight often routes through Maryland. The advance warehouses named for a 2023 DC show and a 2026 Gaylord show are both in Elkridge, Maryland, and 2026 portals require carriers to check in at the warehouse by 2:00 PM for same-day unloading.
  • Federal-scale events close streets. The August 2026 street race was run in coordination with the U.S. Department of Transportation, the Department of the Interior and the Mayor's office, on Pennsylvania Avenue. Check for street events before you schedule a truck.

The practical version: keep the crew in the Metro walk zone and never plan on parking a work van at the building.

Outings

Taking a client out

K1 Speed Dulles, Sterling, Virginia. Electric indoor karts on a nine-turn layout, a 160-person capacity and free parking, under six miles from Dulles airport and about 30 miles west of the city by the operator's description. It opens at noon Monday through Thursday, so it is an afternoon or evening outing.

K1 Speed Jessup, Maryland. Two tracks and a 276-person capacity off US-1. The corporate package needs eight people, cannot be booked same day, and drivers must be 48 inches tall. Older lists may name an Autobahn Indoor Speedway nearby; K1 Speed's own site runs a news item titled Autobahn Indoor Speedway Joins K1 Speed, so check the name on your booking.

Summit Point Motorsports Park, West Virginia, hosts corporate events with track driving, karting, off-road and catering. VIRginia International Raceway, Alton, Virginia, markets corporate retreats with karting, meeting space and on-site lodging. Neither publishes corporate prices, and both are full days, not evenings.

Check the day before you book the name. Verified on 11/04/2026 from the restaurants' own sites:

  • Oyster Oyster, listed by Destination DC as Michelin-starred, serves Wednesday to Saturday only, which rules it out for an early-week arrival night.
  • The Dabney, also listed as starred, is closed on 11/07/2026 for a private event and on Thanksgiving, lists its December Sunday and Monday openings as exceptions, and cannot accommodate severe allium or dairy allergies or vegan diets. That matters when you do not know the client's table.
  • Unconventional Diner, a Destination DC group pick, will not split checks for six or more except through a payment app. Worth knowing before an expense-report dinner.

For a bite without leaving the building, Destination DC points to the convention center's Uptown Dining District.

Racing

A city that just raced down Pennsylvania Avenue

The capital hosted an IndyCar street race in August 2026. The Freedom 250 Grand Prix of Washington, D.C. ran 08/22 to 08/23/2026 on a 1.7 mile, seven-turn circuit with a 0.4 mile frontstretch on Pennsylvania Avenue, past the National Air and Space Museum and the National Archives, after an executive order of 01/30/2026. The organizer reports more than 215,000 fans and an average television audience of 3.282 million, which it calls the most-watched IndyCar race outside the Indianapolis 500 since 1995. Kyle Kirkwood won.

It is history, not a fixture. The organizer called it once-in-a-lifetime, and IndyCar's 2027 schedule has no Washington race. Theme an activation on it as a moment the city shared, and promise no sequel.

The car show is also a policy event. The Washington, D.C. Auto Show calls itself the largest indoor event in the region, and its 2026 Public Policy Day put members of Congress on stage and listed a keynote by the U.S. Secretary of Transportation.

Real tracks across the region. Summit Point runs four circuits: the original 2 mile, 10-turn Summit Point Circuit from 1969, the 1.7 mile Jefferson Circuit, the 2.2 mile, 22-turn Shenandoah Circuit with a replica of the Nürburgring's banked Karussell, and the Washington Circuit skid pad complex. VIRginia International Raceway hosts IMSA's WeatherTech SportsCar Championship each August, and NASCAR's Cup Series races at Martinsville, Dover and Richmond in 2027. Get the styling right: VIR writes VIRginia, and Summit Point's old web address now redirects to a new domain.

The honest limit. The convention calendar we read is led by medical and scientific associations. A simulator reads as native at the auto show and at a brand activation. At a scientific meeting it is a booth traffic tool, and it should be sold as one.

Honest

What we can prove in DC, and what we cannot

We have not published a named Washington DC case study, and we will not imply one. When we do, it will name the client, the building and the number they measured.

What is checkable today is the research. The labor rules come from the official contractor's work rules for the 2025 AAOMS and 2026 AUA meetings at the convention center and a 03/03/2026 show at Gaylord National, plus another contractor's 2023 regulations for the same DC building. The electrical triggers come from Hi-Tech Electric's own guidance, the hall data from the venue's floor plan book, and the fire, sound and decor rules from its policy and exhibitor pages, all read on 11/04/2026.

What we could not confirm: elevator dimensions and capacities, whether a rented simulator counts as an exhibit, machinery or product for labor purposes, where 2027 shows will marshal, whether contractors bill DC Emancipation Day as a holiday, any rule on electric vehicles or lithium packs, and display mounting, which no DC document we read addresses. Each is a written question on a DC job, because an absence of a published rule is not a published permission.

Questions

Washington DC questions

Can our own staff set up the simulators at the Walter E. Washington Convention Center?

Inside a narrow window. The official contractor's work rules for the 2025 AAOMS and 2026 AUA meetings here give two full-time employees of the exhibiting company one hour on move-in and one hour on move-out without carpenters, on booths larger than 10 by 10. Booths of 10 by 10 or smaller are exempt, and power tools are banned on all of them.

Unpacking, placing, tuning and calibrating your product need no union labor if your full-time permanent employees do it. Both allowances follow your payroll. Our technicians are not your employees, so we work here as an exhibitor appointed contractor.

What does the convention center need from the rental company's crew?

Under the contractor's 2025 and 2026 rules: written notice to show management and the contractor 30 days before the first move-in day, and a certificate of insurance on file 10 days before, or access is refused. The certificate names the contractor, the show and the facility as additional insureds.

Published minimums are general liability of $1,000,000 per occurrence and $2,000,000 aggregate, a $1,000,000 umbrella, statutory workers compensation and $1,000,000 auto liability. Our general liability is $6M per occurrence and $8M aggregate.

Can we plug the simulators in ourselves?

Into an outlet ordered from the exclusive contractor at an inline booth, nothing we read forbids it, and nothing expressly permits it. No DC document we read contains a sentence letting exhibitors plug in their own equipment.

Hi-Tech Electric publishes triggers instead. Island booths carry a one hour per technician labor minimum, as do multiple outlet locations and 208 volt motor outlets, and a motion platform is a motor. A dedicated 20 amp outlet may incur labor, and dismantle is billed at half the installation charge. The contractor's 2026 portal adds that pre-wired equipment needs inspection labor. Budget for an electrician on every DC simulator booth.

Why can a DC booking produce more than one invoice?

Because services are split among exclusives. Power, plumbing and rigging come from Hi-Tech Electric and its rigging partner, labor and material handling from the official contractor, internet from Smart City, cleaning from Aramark Facility Services and food through DC Eats.

Our price covers the simulators, delivery, setup, one on-site technical event manager per simulator, teardown and insurance, with freight inside it. The client supplies power, tables, chairs and TV stands, and here power means an order with Hi-Tech, paid in full when ordered.

Does a race simulator cost more in DC than in other cities?

Not from us. The price does not change by city: a half day of four service hours is $5,479 per rig and a day of eight hours is $5,919 per rig, freight included. Signing 3 to 4 weeks out adds $300 per staff, 2 to 3 weeks out adds $600 per staff, and inside two weeks we do not take the booking.

Setup after 4:00 PM the day before is included, and early setup from 12:00 to 4:00 PM the day before is $500. In DC the contractor's straight time ends at 4:30 PM on weekdays, so union labor your booth needs during an evening setup is billed at the contractor's overtime.

Can we use a dolly or a hand cart at the convention center?

Plan on no. The contractor's 2025 and 2026 work rules allow only what one person can carry in one trip, with no dollies or hand trucks, and a 2023 show's rules also barred baggage carts and flat trucks.

The venue's own page lists portable displays on wheels and small luggage racks as acceptable hand-carry. Two live documents, two answers. The contractor controls the dock and the floor, so we plan to the contractor.

Where do trucks and vans check in for a convention center show?

For the 2026 AUA Annual Meeting, at RFK Stadium Lot 8, 2400 East Capitol Street SE. Every carrier and privately owned vehicle checked in, weighed in, waited for a dock and returned to weigh out. Events DC reports RFK demolition complete as of September 2026, and we could not confirm where 2027 shows will marshal.

At the building, trucks enter from M Street eastbound, Halls A to C at 7th and M, D and E at 9th and M, and exit with right turns onto westbound M. Docks run 6:00 AM to 9:00 PM daily.

Can we put a car in the booth?

Yes. Batteries disconnected, no more than a quarter tank or five gallons, whichever is less, fill openings sealed and no fueling inside. Every DC document we read agrees. Show management, not the exhibitor, must hold the fire department's Vehicles on Display permit.

At Gaylord National the limit is a quarter tank or ten gallons. We found no rule at either venue on electric vehicles or lithium packs, so we ask.

Does a canopy or covered structure over a simulator need approval?

Yes, at any size. Covered or multi-story structures need audible smoke detectors, a porous roof, a 3A40BC extinguisher and a fire prevention attendant whenever the hall is closed, with plans sealed by a licensed engineer or architect due 90 days before installation. No size threshold is published.

Gaylord National sets one: covered booths over 300 square feet need automatic extinguishing or paid fire watch, and every covered booth needs a smoke detector.

How far ahead does the DC fire marshal need the floor plan?

At least 31 days before move-in to avoid an expedited fee, revisions 30 days out, and nothing reviewed until paid. Plans go to the venue's event manager first, never straight to the fire prevention division.

Diagrams must be approved before show management sells exhibit space at all, so if you are the show, the floor plan comes before the booth sales.

Is there a noise limit at the convention center?

Yes: 55 decibels unless the venue specifically approves more. We ask show management and the venue for an approved level before contract. If none is approved, the sound has to stay inside the booth, which in practice means headphones.

Can a networked leaderboard run on the building Wi-Fi?

We would not plan on it. The free Wi-Fi is published at 768 kBps each way, and Smart City is the exclusive technology provider, so a live leaderboard runs on an ordered Smart City line.

Which hall suits a large simulator build?

Halls A, B and C have the bigger doors, 25 by 15 foot drive-ins and 19 by 15 overheads, and 39 enclosed docks. Avoid the 10,000 square foot zone in south Hall A where the ceiling drops to 12 feet.

Halls D and E have the bigger room and smaller doors: a 180 foot clear span and 30 to 50 foot ceilings, but 16 by 15 foot doors in D and 20 by 15 in E. All halls carry 350 pounds per square foot. The ballroom and salons carry 100, so a motion platform upstairs needs written point-load guidance.

Do the convention center's rules apply at Gaylord National?

No. Gaylord National is in Maryland, under Prince George's County Fire and Rescue, and only the contractor's labor text matches. The hotel's electrical department owns the power, and every power strip and extension cord must be provided and installed by the hotel.

Its 2024 electrical document adds a 16 percent installation and removal fee and 6 percent Maryland sales tax, and food and beverage is hotel exclusive down to logo bottled water.

When should we avoid booking Washington DC?

Late January. The Washington, D.C. Auto Show holds the convention center from 01/22 to 01/31/2027, two more events sit inside that window, and the venue splits dock use between events that share a level.

Then mid-April, when ONS Congress straddles DC Emancipation Day on 04/16/2027. For hotels we treat the cherry blossom festival, 03/20 to 04/11/2027, as a compression window, as a planning assumption rather than a published figure.

Will the IndyCar race on the National Mall be back in 2027?

Not on the published calendar. The Freedom 250 Grand Prix ran 08/22 to 08/23/2026, the organizer called it once-in-a-lifetime, and IndyCar's 2027 schedule, read on 11/04/2026, has no Washington race. Use it as a story, not a promise.

Where can we take a client to drive?

For an evening, K1 Speed Dulles in Sterling, Virginia, or K1 Speed Jessup in Maryland, both electric and both opening at noon Monday through Thursday. Jessup's corporate package needs eight people and cannot be booked same day.

For a full day, Summit Point Motorsports Park in West Virginia or VIRginia International Raceway in Alton, Virginia. Neither publishes corporate prices.

Where should we take a client to dinner near the convention center?

Confirm the day first. Oyster Oyster serves Wednesday to Saturday only. The Dabney is closed 11/07/2026 and on Thanksgiving, and cannot accommodate severe allium or dairy allergies or vegan diets. Unconventional Diner will not split checks for six or more except by app. All verified on the restaurants' own sites on 11/04/2026.
