Race simulator rental in Boston

In shortBoston is a venue-run union market: the MCCA itself sells the electrical, internet, rigging and plumbing, and contractor documents name the Teamsters and the IBEW on the floor. The dock is more permissive than most, since your own full-time staff may roll freight in on their own hand trucks, but a rental crew is not your staff, and that changes who may build the rig.

We ship rigs into Boston and staff them, one technical event manager per simulator. Freight is inside the quoted price, and the price is the same here as anywhere in the continental US.

Boston is the market where the landlord is also the electrician. The Massachusetts Convention Center Authority runs both convention centers, sells the power, the internet and the rigging itself, renamed its flagship building in 2025 without updating several of its own exhibitor documents, and is repairing the older building while it stays open.

Jurisdiction

A union floor, and a rental crew is not your employee

Boston's rules come in three layers: the Massachusetts Convention Center Authority's exhibitor guidelines, the general service contractor's labor rules for your show, and the services the venue keeps for itself. The MCCA runs both convention centers, the Thomas Michael Menino Convention and Exhibition Center in the Seaport and the Hynes in Back Bay.

The headline is permissive. The MCCA's guidelines let an exhibitor unpack, assemble, dismantle and pack its own display with its own full-time employees, using power tools. Freeman's 2025 rules for FAN EXPO Boston at the convention center agree.

The fine print is the whole story. Every Boston document we read limits that permission to the exhibitor's own bona fide full-time employees. Demers Exposition's New England Boat Show rules require employment ID on request and send all other help to union labor ordered through Demers. A 2020 Freeman document names the convention center's union partners as the IBEW and the Teamsters, without local numbers, and Freeman's NECANN guidance at the Hynes names Teamsters Local 25 for installing and dismantling exhibits.

From the MCCA's exhibitor guidelines and 2026 Client Ordering Guide, and general service contractor rules for named shows at both buildings, verified 11/04/2026.
FunctionWho holds itWhat it means for a simulator build
Install and dismantleYour own full-time employees, or union labor through the general service contractorYour staff may build with power tools if they can prove full-time status. Hired help must be union
Exhibitor appointed contractorsMay supervise. Under at least one show's rules, may not do the workDemers says EAC employees may not perform set-up or dismantle labor. GES says display house workers cannot erect a booth unless they belong to the appropriate local. A rental crew sits in this category
Material handlingGeneral service contractor, exclusive for carrier freightCommon carrier, van line and trucks 24 feet or longer are theirs. Only their personnel run forklifts, pallet jacks and lift gates
Rigging, banners and trussMCCA exclusive, through its exclusive rigging providerDemers names JCALPRO. Overhead power must accompany a rigging order
Electrical, internet, plumbing, compressed airMCCA exclusiveOnly MCCA personnel install or remove electrical equipment, and individual air compressors are not allowed
Food and beverageLevy Restaurants, exclusiveNo outside food or beverage. Non-Levy food and beverage carries a 20 percent administrative fee plus sales tax
Cleaning, medical, house sound, ground-supported crank-upsMCCA exclusive, with house sound through the venue's preferred A/V providerOther A/V companies must bring stand-alone speakers

What this means for a rented simulator. Our technicians are not your full-time employees, so the self-install permission does not cover them. In Boston's terms a rental crew is an exhibitor appointed contractor: it can supervise, and under at least one show's rules it cannot perform the build. Get the contractor's current labor form, file its EAC paperwork, and budget union installation labor until the contractor confirms in writing that you do not need it.

Electrical

MCCA power: exclusive, flat-rate, and off overnight

The MCCA's 2026 Client Ordering Guide, version 26.1, valid 01/01/2026 to 12/31/2026, is the clearest power document in this market. The building wrote it, and the building is the electrician.

  • Exclusive. Only MCCA personnel may install or remove electrical equipment. MCCA electricians provide the initial power source and make service connections.
  • Wall outlets are not yours. Standard wall and permanent building outlets are not part of the event space.
  • Where it lands. Service runs from the nearest column or floor port to the rear of the booth. On an island with no pipe and drape and no columns, boxes are left accessible inside the floor ports, which sit on 30 by 30 foot centers.
  • Sizes. 120V boxes run from 500 watts on one 5 amp circuit to 4,000 watts on two 20 amp circuits. 208V and 480V are hard-wired unless a plug type is listed, and the 30 amp 208V options use NEMA L21-30P plugs. Anything at 100 amps or more needs Event Services Manager approval and a floor plan.
  • Overhead. Needs MCCA approval and must accompany a rigging order.
  • Labor. Published at $115 an hour for all times, with a one-hour minimum. Connection rates do not cover equipment connection, malfunction tracing or repairs.

The detail that changes a simulator schedule. Electrical service generally begins half an hour before the show and ends one hour after close. Twenty-four-hour power adds 50 percent to the initial connection rate. A multi-sim build is computers, displays and usually a networked leaderboard. On standard service it shuts down every night and has to boot and check inside that half hour every morning. Decide before the discount deadline whether that window is enough.

Can your crew plug the rig in? The venue's guide reserves service connections to its electricians and is silent on plugging equipment into a delivered box. A 2020 Freeman document for a meeting at the same building lists plugging in extension cords among the minor tasks exhibitors may do. Treat it as unconfirmed for 2026 and get the answer from your Event Services Manager in writing.

Cords. Only UL-approved extension cords of 12 gauge or heavier, rated 20 amps, are allowed, and household cords are prohibited. The MCCA's 25 foot booth cords may not run under carpet, and cables may not cross doorways on the floor. Running cords under carpet is contractor or EAC labor, according to Freeman documents for both buildings.

Because these are venue services, the MCCA bills them. A Boston total can arrive on two invoices or more: ours, the venue's and the contractor's.

Load-in

Getting in at the Menino center: 62 bays and a 24 foot line

The dock is on the west side of the building, off the Haul Road: 62 covered bays, five roll-up elephant doors, dock levelers, drive-on ramps and 45 feet of clearance for an easy turn, per the MCCA's planner's guide. All exhibitor move-in goes through it.

The permissive part. Your bona fide full-time employees may handle your own material with hand-operated equipment you provide, and the MCCA states that two-wheeled hand trucks and four-wheeled flat trucks are permitted. Co-owned or rented vehicles must be under 24 feet. Freeman's 2025 FAN EXPO rules match, and ban pallet jacks in the self-unload area.

The limits. A/V and furniture vendors may not unload their own items. Nobody under 18 may be on the docks or in the dock yard. Dock parking needs a pass on the dashboard, and the time limit is published as 30 minutes in one MCCA document and 20 in another. Over the limit, the vehicle can be towed at the owner's expense.

Hand-carry is not a rig path. It is one item, one time, carried by one person without dollies, and passenger elevators may not carry freight. A simulator cockpit is dock freight.

Check-in and parking. Exhibitors report to the contractor's marshaling lot trailer, or to the South Parking Lot if directed, before entering at Southwest Badging. That lot is daytime only, with no overnight parking, so a van with equipment in it sleeps in a hotel garage.

Contradictions

Where Boston's documents disagree

Boston's documents disagree on few questions, but they are the ones that decide who touches your freight and when overtime starts. Here is every conflict we found and the version we would plan to.

From MCCA guidelines, planner's guide chapters and the 2026 ordering guide, and general service contractor documents for named shows. Several MCCA documents carry no revision date, which is itself a finding. All verified 11/04/2026.
QuestionWhat the documents sayWhat we plan to
Who may install the boothThe MCCA and Freeman's 2025 FAN EXPO rules: your full-time employees, with power tools. A 2020 Freeman document for the same building: union crews must install anything needing hand tools, more than one person, more than 30 minutes, or over ten feet in any direction, while also saying full-time employees may set up their own boothsYour show's current labor form. A multi-sim build trips all four 2020 tests
Who may unload at the dockThe MCCA: full-time employees may self-handle with hand trucks and flat trucks. Demers for the New England Boat Show: using a loading dock requires union labor to unload and reloadBudget material handling, then drop it if the contractor confirms self-unload in writing
Dock parking time30 minutes in the MCCA's planner's guide. 20 minutes in the MCCA guidelines hosted in a GES show portal20 minutes
Vehicle lengthUnder 24 feet for co-owned or rented vehicles in one MCCA copy. The other copy's sentence is garbledUnder 24 feet for every vehicle
When overtime startsDemers: before 8:00 AM and after 4:30 PM on weekdays, double time Sundays and holidays, with its Saturday line cut off. A 2020 Freeman document: weekends, or after 5:00 PM on weekdays4:30 PM. MCCA electricians are the exception, at one published rate for all times
The building's nameThe 2026 ordering guide says Thomas Michael Menino Convention and Exhibition Center and MCEC. The exhibitor guidelines and hall pages still say BCECShip to 415 Summer Street with the show name and booth number
Building code editionThe MCCA's guidelines cite the eighth edition of 780 CMR, the state building codeWe could not confirm which edition applies today. Ask before a covered structure is drawn
Fire

Fire: Boston wants its own certificate

Under the MCCA's guidelines, the Massachusetts Department of Public Safety has jurisdiction over exhibit safety at the convention center, working with the Boston Fire Department. Inspections can happen at any time, and a hazardous display can be removed at the exhibitor's expense.

The trap. Drapes, banners and decorations must be flame-retardant, with a Certificate of Flame Resistance on site. The Boston Fire Department requires materials certified within six months of the event and does not accept certificates from other jurisdictions. A fabric surround that passed in another city last month is not cleared here on that paper.

Vehicles on the floor. Every vehicle needs Event Services Manager pre-approval. Tanks may hold no more than three gallons or one eighth of a tank, whichever is less, so on any tank over 24 gallons the gallon cap binds. Caps lock or are taped, one starting battery cable is disconnected and taped, positive preferred, and keys and security codes stay with Public Safety. Nothing moves during exhibit hours or for 15 minutes after close, a lead person walks in front of any moving vehicle, and there is no fueling inside.

Electric vehicles are not addressed. The rule is written around fuel tanks and a starting battery. We found no MCCA rule on a traction battery in any document we read, so confirm an EV show car before it is booked into the booth.

Covered structures. Under 300 sq ft: non-combustible or limited-combustible materials, NFPA 701 fabric, canopies to CPAI 84, a battery-operated smoke detector and a 10 lb ABC extinguisher; tents need a state permit. Over 300 sq ft, or multi-level: show management authorization, MCCA engineering and public safety review, and plans stamped by an architect or engineer at least 90 days before move-in, with sprinklers for single-story covers.

Also prohibited: compressed flammable gases, pyrotechnics, flammable liquids and cut evergreens, which matters for a December party theme. Hotel shows sit under the same city: GES's rules for RE+ Northeast at the Westin in 2022 required flameproofing to Boston fire codes and let the Boston Fire Marshal inspect at any time.

Hynes

The Hynes: open, under repair, and wet at the dock

Status on 11/04/2026: open. Governor Baker proposed selling the Hynes in 2019 and again in 2022, and the legislature shelved both. In April 2026 the Boston Globe reported that Governor Healey's administration has taken the opposite approach, with $117 million contracted for upgrades as a first wave. A 2024 report called the sale on hold rather than canceled, so we would not call the question permanently closed.

The work happens around your show. By April 2026, 15 of 23 mechanical air units had been replaced, with Boylston Street glass and ballroom corridor skylights next. The MCCA's operations chief told its board that by 2029 a catastrophic closure should be unlikely, and the interim executive director said the building cannot simply close for the work. Ask the Event Services Manager what construction is scheduled in your dates.

What the MCCA's own study says. A March 2025 analysis for the MCCA puts the Hynes at 176,480 sq ft of exhibit space, 38 meeting rooms and three ballrooms, built in 1963 and renovated in 1988, with about $280 million of deferred maintenance. Move-in and set-up received its lowest customer ratings. It also recommends converting Exhibit Hall B into meeting space, a recommendation rather than a decision.

The dock floods. The same study says the lower levels and loading dock areas have flooded, sometimes two to three times a year during intense rainfall. A heavy-rain forecast on a Hynes move-in day is a schedule risk.

Procedure. The truck marshaling yard is in Allston/Brighton. Freeman's NECANN guidance, posted in 12/2025 with a 2017 copyright, sends POV drivers to the marshaling yard first and then to a special POV dock, warns that unattended POVs will almost certainly be towed, and lets trucks under 24 feet self-unload without mechanical devices. Electrical orders go through the Hynes, with cords installed by the contractor or your EAC from a layout submitted before carpet.

We could not confirm the Hynes exhibit hall level, floor load, ceiling height, dock count or freight elevators in any document we read.

Venues

The other rooms Boston events use

From the MCCA's March 2025 study, event organizer pages for 2025 to 2027 meetings, a hotel's own site and contractor documents, verified 11/04/2026.

Seaport Hotel Boston and World Trade CenterHotel and event property at One Seaport LaneIn a 2026 conference's hotel block. The hotel says it has meeting space and sits under a ten-minute walk from the convention center

All of these sit under the same city fire rules. The difference is who sells the power: at the two convention centers it is the MCCA, and at a hotel it is whoever the hotel contracts. We did not read a Boston hotel's electrical or labor rules for this page, so we are not going to describe them.

The Boston calendar: winter is the crowded season

The MMA meeting, the Boston Marathon date and the NASCAR weekend are organizer or track confirmed. The rest come from trade fair date aggregators that warn dates may change, and we have marked them. Verified 11/04/2026.

The crowded window is late January to mid-February. Four shows are listed at the Menino center between 01/21 and 02/14/2027, one organizer confirmed and three from aggregators. Book freight and hotels for that stretch earliest, and note that the 90-day drawing deadline for any covered or two-story build lands in October and November.

The week of 04/19/2027 loads both buildings. The Boston Marathon runs on Monday 04/19, after an expo a tour operator places at the Hynes, and PAX East opens at the Menino center on 04/22. Back Bay carries the marathon expo and the Seaport carries a major move-in in the same week. We could not confirm whether any contractor bills race day at a holiday rate.

Race weekend is an outing, not a conflict. New England's one NASCAR Cup weekend is out of state and on a weekend, so it does not collide with a weekday Seaport show.

Hotels

Where to stay

Connections from event organizer pages, a hotel guide, a hotel's own site and the MCCA's 2025 study. One connection is described differently by two sources, and we say so. We publish no rates. Verified 11/04/2026.

Back Bay depth. The MCCA's study counts 19 hotels with 6,708 rooms in Back Bay as of June 2024. That is the Hynes market. The Seaport list above is the walkable set for the Menino center.

For a crew van, the garage matters more than the walk. Per a 2027 meeting's parking page, the Omni and the Westin offer valet or self-park garages, and the Aloft and Element are valet only. Check the van's height against the garage before you assign the hotel.

Logistics

Getting around: the river roads are cars only

  • Logan is close. A 2025 organizer puts the convention center an eight-minute taxi ride from Logan and a 15-minute walk from South Station.
  • Transit. The Silver Line's World Trade Center station is about one block from the convention center. The Hynes has its own Green Line station and connects indoors to the Prudential Center.
  • Storrow Drive, Memorial Drive and Soldiers Field Road are cars only. The state calls them the river roads, with clearances as low as nine feet, and warns that GPS and many direction apps do not account for vehicle size. Its suggested alternatives are Beacon Street, Commonwealth Avenue and the Massachusetts Turnpike.
  • This is not folklore. State crash data cited by Boston.com in 08/2026 counts at least 100 trucks, vans and buses hitting bridges or gantries on those roads from 2022 to 2025, with 26 in 2022 and 17 in 2025.

Why it matters for a rig. The Hynes truck marshaling yard is in Allston/Brighton, and a box truck moving between a yard, a hotel garage and Back Bay on a phone app can be routed onto a road it does not fit under. Route by vehicle height before move-in day, with a truck-aware app of the kind the state itself recommends. The warnings peak around the region's move-in day, which fell on 09/01 in 2025.

Outings

Taking a client out

A NASCAR weekend, out of state. New Hampshire Motor Speedway in Loudon runs New England's only NASCAR Cup race on 09/26/2027, the third race in The Chase, with the Truck Series and the Whelen Modified Tour on Saturday 09/25. The track sells corporate hospitality and business group tickets, and general parking is free for the weekend.

A members' road course. Palmer Motorsports Park in Palmer, Massachusetts, built in 2015, runs a 2.3-mile asphalt track as a private club with corporate memberships, private events, on-site garages and trackside villas. It publishes no prices, season or capacity on its corporate page, so treat it as a key-account relationship rather than a group outing you can book this month.

Electric karting. K1 Speed's Boston location is in Wilmington, right off I-93, with all-electric karts, a 12-turn adult track, a 35-person room with A/V and an 80-person lounge. It does not open until 12:00 PM on any weekday, and opens at 10:00 AM on Saturday and Sunday, so a weekday morning team event cannot happen there.

Dinner. Michelin's first Northeast Cities selection, announced on 11/18/2025, gave Boston one star: 311 Omakase in the South End, an 18-course counter with two seatings a night. New reservations open on the 15th of each month and it is often booked out weeks ahead, so the booking is a calendar task, not a call in show week.

Near the convention center, Woods Hill Pier 4 in the Seaport is on the guide's recommended list. Near the Hynes, Mooncusser, Asta and Select Oyster Bar in Back Bay are recommended. In South Boston, Bar Volpe and Fox & The Knife hold Bib Gourmands. We did not verify closed days or private dining capacity for any of them, so confirm the day before you confirm the name.

Racing

Racing near Boston: real, but not on the doorstep

We could document one NASCAR Cup weekend a year, in another state; a private members' road course in Palmer; and electric karting off I-93. We could not document a racing venue inside the city, and we are not going to manufacture a motorsport heritage for it.

The case for a simulator here is the audience. The Menino center calendar carries a gaming show in PAX East, and life science and medtech meetings appear at both buildings, from Biotech Week Boston at the Hynes in 2024 to MEDevice and the Festival of Biologics at the Menino center in 2027. In that crowd a simulator reads as a technology and competition piece, scored on a leaderboard, more than as a nod to local racing.

The one local racing hook is real and current. The 2027 Cup race at New Hampshire is the third race in The Chase, on a September date the track calls New England's only NASCAR Chase weekend. If your event falls in late September, open with that.

Honest limit. If the brief is local motorsport credibility, a hosted day at Loudon or a karting night in Wilmington may be the better call than a simulator. If the brief is a scored, repeatable, branded experience on a show floor in February, a simulator is the format that works indoors.

Branding

Names to get right before the first email

The convention center was renamed. It is the Thomas Michael Menino Convention and Exhibition Center, after Boston's longest-serving mayor, under a law passed in fall 2024 and signed by Governor Healey. The MCCA announced it on 06/11/2025 and marked the change on 07/12/2025. Its 2026 ordering guide says MCEC, while its exhibitor guidelines, hall pages and document paths still say BCEC. Use the new name and ship to 415 Summer Street.

The Westin has two names in circulation. Current pages call it The Westin Boston Seaport District. A 2026 conference's hotel block still lists The Westin Boston Waterfront.

The Hynes is open. Pages describing it as being sold or closed reflect a plan the current administration has turned away from, per the Boston Globe in April 2026.

The marathon is a mark. The race is managed by the B.A.A., its 2027 edition is officially the Boston Marathon presented by Bank of America, and a travel operator's page shows the name with a registered trademark symbol. We did not read the registration itself, but a race-week livery that borrows the marathon's name is a trademark question before it is a design question.

Honest

Proof, stated honestly

We have not published a named Boston case study and we are not going to imply one. When we do, it will name the client, the venue and the number it was measured on.

What is checkable today is the research. The jurisdictions, power rules, dock rules, fire rules and venue figures above came from the MCCA's own planner's guide chapters, exhibitor guidelines and 2026 Client Ordering Guide, from Freeman, GES and Demers documents for named shows at both buildings, from the MCCA's March 2025 economic study, and from organizer and track pages, all read on 11/04/2026.

The limits, stated plainly. The newest contractor labor document we could read for the convention center is for a 2025 show, not a 2026 or 2027 one, and none named a union local for the Menino center. We could not confirm freight elevator data at either building, the Hynes floor load or hall level, whether an exhibitor may plug into a delivered box under the MCCA's current rules, or the venue's position on exhibitor-run wireless. An absence of a published rule is not a published permission.

Questions

Boston questions

Can our own staff set up the simulators at the Menino center?

Yes, if they are your bona fide full-time employees. The MCCA's guidelines let exhibitors assemble and dismantle their own displays with their own full-time staff and power tools, and Freeman's 2025 FAN EXPO Boston rules agree. Bring proof: Demers' rules say employment ID verifying full-time status must be produced if requested.

One older document reads narrower. A 2020 Freeman document for the same building says union crews must install anything that needs hand tools, more than one person, more than 30 minutes, or exceeds ten feet in any direction. A multi-sim build fails all four tests, so confirm your show's current rule first.

Can your technicians build the rig on a Boston trade show floor?

Not under the full-time employee rule, because they are not your employees. In Boston's terms our crew is an exhibitor appointed contractor. Demers' rules say EACs may supervise but their employees may not perform set-up or dismantle labor. GES's Hynes rules say display house workers cannot erect a booth unless they belong to the appropriate local, and Freeman's NECANN guidance says EACs must use Teamsters Local 25 workers.

The safe plan is to get the contractor's current labor form, file the EAC paperwork and budget union installation labor. In a hotel ballroom the rules are the hotel's, and we did not read a Boston hotel's labor rules for this page.

Can we plug the rig in ourselves?

Unconfirmed, and we would rather say so than guess. The MCCA's 2026 Client Ordering Guide says only MCCA personnel may install or remove electrical equipment and that its electricians make service connections. It is silent on plugging equipment into a box once delivered.

A 2020 Freeman document for the same building lists plugging in extension cords among the minor tasks exhibitors may do. It is the only written permission we found and it is six years old, so get the current answer from your Event Services Manager in writing. What is settled: wall outlets are not part of your space, and cords must be UL-approved, 12 gauge or heavier and rated 20 amps.

When does the power come on, and why does it matter for a simulator?

Standard service generally begins half an hour before the show opens and ends one hour after close, per the MCCA's 2026 guide. Twenty-four-hour power adds 50 percent to the initial connection rate.

On standard service, every rig and the leaderboard shut down each night and must boot and check inside that half hour. Decide before the order deadline whether that is enough. The discount rate needs order and payment at least 21 days before opening, and phone and fax orders are not accepted.

Can we use hand trucks or carts?

At the dock, yes, which is more permissive than several markets we work in. The MCCA lets your bona fide full-time employees self-handle with equipment you provide, and two-wheeled hand trucks and four-wheeled flat trucks are permitted. Freeman's 2025 rules ban pallet jacks in the self-unload area.

Through the front doors, no. Hand-carry is one item, one time, one person, no dollies, and GES's 2024 rules at the Hynes bar wheeled carts and dollies from the lots. Forklifts, pallet jacks and lift gates belong to the contractor's union personnel in every document we read.

What vehicle should the crew bring?

Something under 24 feet, driven by your full-time employees if you want to self-unload. Every contractor document we read sends trucks of 24 feet or more to union unloading.

Then three Boston details. Plan on 20 minutes of dock parking, the shorter of the two published limits. The convention center lot has no overnight parking, and the Aloft and Element are valet only. And never route the van on Storrow Drive, Memorial Drive or Soldiers Field Road, which are cars only with clearances as low as nine feet.

Can we put a car on the show floor?

Yes, with Event Services Manager pre-approval and one of the strictest fuel numbers we have found: no more than three gallons or one eighth of a tank, whichever is less. Two copies of the MCCA's guidelines agree on it. Lock or tape the cap, disconnect and tape a starting battery cable, positive preferred, and leave keys and security codes with Public Safety.

The open question is electric. We found no MCCA rule on an electric vehicle's traction battery in any document we read. Confirm before an EV is booked into the booth.

Will our flame certificate from another city work in Boston?

No. The MCCA's guidelines say the Boston Fire Department requires materials certified within six months of the event and does not accept certificates from other jurisdictions. That covers a fabric surround, a branded backdrop or a banner on a simulator build.

Hotel shows are no escape. GES's rules for a 2022 show at the Westin required flameproofing to Boston fire codes, with the Boston Fire Marshal free to inspect or test at any time.

Does a canopy or covered booth need approval?

Under 300 sq ft it needs the right materials, a battery-operated smoke detector and a 10 lb ABC extinguisher rather than a plan review. Tents need a permit from the state's Department of Public Safety.

Over 300 sq ft, or any multi-level exhibit, it needs show management authorization, MCCA review and plans stamped by an architect or engineer at least 90 days before move-in. Single-story covers over 300 sq ft need sprinklers unless the cover is an approved open mesh or fusible-seam material. For a show in February, the drawings are due in November.

Is the Hynes closing?

No. It is open, booking, and being repaired while it operates. The Baker-era sale proposals of 2019 and 2022 were shelved, and in April 2026 the Boston Globe reported that the Healey administration has taken the opposite approach, with $117 million contracted for upgrades as a first wave. A 2024 report called the sale on hold rather than canceled.

The MCCA's operations chief told its board that by 2029 a catastrophic closure should be unlikely. Until then, ask the Event Services Manager what construction is scheduled in your dates.

What should we know about load-in at the Hynes?

Three things from the MCCA's own March 2025 study. Move-in and set-up received its lowest customer ratings. The loading dock and lower levels have flooded, sometimes two to three times a year in intense rain. And the truck marshaling yard is in Allston/Brighton.

Freeman's NECANN guidance sends POV drivers to the marshaling yard first and then to a special POV dock, and warns that unattended POVs will almost certainly be towed. We could not confirm the Hynes floor load, hall level, ceiling height, dock count or freight elevators.

Can we run our own Wi-Fi for a leaderboard?

We could not confirm it either way. The MCCA is the exclusive internet provider, and its 2026 guide does not address exhibitor wireless networks. It does say free wireless in the halls is for casual use and not guaranteed, recommends wired service for demonstrations, and lets clients bring their own routers, hubs, switches and cables.

Plan a networked leaderboard on a wired drop, and get a written answer before anyone switches on a wireless access point. The guide publishes tech rep labor at $150 an hour and network engineer labor at $185, each with a one-hour minimum.

When should we avoid booking Boston?

Late January to mid-February, and the week of 04/19/2027. Between 01/21 and 02/14/2027 the Menino center is listed for four shows back to back, only one of them organizer confirmed.

The week of 04/19/2027 opens with the Boston Marathon and ends with PAX East at the Menino center from 04/22 to 04/25, so both buildings and both hotel districts are under load at once.

Is the convention center still called the BCEC?

No. It is the Thomas Michael Menino Convention and Exhibition Center, announced by the MCCA on 06/11/2025 and marked on 07/12/2025. The catch is the MCCA's own paperwork: the 2026 ordering guide says MCEC, while the exhibitor guidelines and hall pages still say BCEC. The address is unchanged, so ship to 415 Summer Street with the show and booth number.

Does bringing simulators to Boston cost more?

Not from us. The price does not change by city: a half day of four service hours is $5,479 per rig and one day of eight hours is $5,919 per rig, inclusive of delivery, setup, one on-site technical event manager per simulator, teardown and insurance, with freight to anywhere in the continental US inside the price.

What Boston adds is the venue's own bill. Electrical, internet, rigging and plumbing are MCCA exclusives, and material handling and union labor come from the show's contractor, so a total can arrive on two invoices or more. The client supplies power, which here means ordering it from the MCCA, plus tables, chairs and TV stands.

Setup after 4:00 PM the day before is free; early setup from 12:00 to 4:00 PM the day before is $500. A contract signed 3 to 4 weeks out adds $300 per staff, 2 to 3 weeks out adds $600 per staff, and inside 2 weeks we do not take the booking. For a show opening 01/21/2027, sign by 12/23/2026 to stay outside the rush window.

Is there a racing venue for a client day?

Three we could verify, none in the city: New Hampshire Motor Speedway in Loudon for the 09/25 to 09/26/2027 NASCAR weekend, with corporate hospitality; Palmer Motorsports Park, a 2.3-mile private club circuit with corporate memberships and no published prices; and K1 Speed in Wilmington for electric karting, which does not open until 12:00 PM on weekdays. We did not verify other New England circuits' 2027 programs for this page.
