What we collect
We collect two kinds of information, and they are worth separating because people usually care about one far more than the other.
What you tell us
When you submit the quote form, we collect your name, work email address, company name, phone number, your event dates, and which simulators you are considering. We ask for these because we cannot quote an event without them. We do not ask for payment details through this website.
What your browser tells us
Like most sites, we receive standard request data: IP address, browser and device type, pages viewed, and the page that referred you. We also capture campaign parameters such as utm_source and gclid when they are present in the link you arrived on, so we can tell which marketing is working.
Why we collect it, and what we do not do
- To respond to your enquiry and prepare a quote. This is the main reason, and for most visitors it is the only one.
- To deliver an event you have booked, including sharing what the crew needs to know with the people running it.
- To understand which pages and campaigns bring enquiries, in aggregate.
- To meet our legal, insurance and accounting obligations.
We do not sell your information. We do not share it with other Equation Events brands for their own marketing. We do not add you to a newsletter because you asked for a quote.
Who else sees it
Only service providers who need it to do their job for us, under contract, and only for that purpose. In practice that means our form provider, our email and CRM systems, our hosting provider, and our analytics. We may also disclose information where the law requires it.
How long we keep it
Enquiries that do not become bookings are kept for up to 24 months, because event planning cycles are long and people often come back. Records relating to events we delivered are kept for as long as our insurance, tax and contractual obligations require. You can ask us to delete sooner.
Cookies
We use cookies for analytics and to attribute enquiries to the campaign that produced them. You can block or delete cookies in your browser; the site works without them, though the quote form is embedded from a third party and may set its own.
Your choices
You can ask us what we hold about you, ask us to correct it, ask us to delete it, or ask us to stop contacting you. Email us and we will act on it. Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act; we extend the same choices to everyone regardless.
Children
This is a business-to-business service and this site is not directed at children. We do not knowingly collect information from anyone under 16.
Where we operate
We are based in the United States and serve events in the continental United States. Information you give us is processed in the United States.
Changes, and how to reach us
If we change this policy we will change the date at the top. For any question about it, or to make any request above, use the form on this site and say it is a privacy request so it reaches the right person quickly.
