Pricing
What a race simulator rental costs
In short$5,479 for a half day and $5,919 for a full eight-hour day, per rig, all inclusive. Four days is $13,719. Delivery, setup, a staffed operator, teardown and insurance are already in the number.
Most vendors in this category will not publish a price. The ones who do publish a number that is not comparable to anyone else's, because one is an hourly rate at a venue you travel to and another is a day rate for equipment that arrives on a pallet for your team to run.
So here is ours, with what is inside it, what moves it, and the two cases where we are the wrong call.
The price ladder, per rig
VR racing simulator configuration. Prices are per simulator and include everything in the next section.
| Duration | What that means | Price |
|---|---|---|
| Half day | 4 service hours | $5,479 |
| One day | 8 service hours | $5,919 |
| 1.5 days | 12 service hours | Quoted |
| Two half days | 8 service hours across two dates | Quoted |
| Two full days | 16 service hours | Quoted |
| 2.5 days | 20 service hours | Quoted |
| Three days | 24 service hours | Quoted |
| 3.5 days | 28 service hours | Quoted |
| Four days | 32 service hours | $13,719 |
Tiers marked Quoted are real durations we book regularly. We are not publishing a figure for them until it is confirmed against the current ladder, because a wrong number on a pricing page is worse than no number.
The other four configurations
The static triple-screen GT, the curved ultrawide GT, the 3DOF motion GT and the F1-style formula cockpit each publish their own ladder. Those sit above the VR figures, because the equipment is heavier, the freight is larger and the crew is bigger.
They are not published yet. Each is being measured rather than estimated, and the ladder goes up when the record behind it is complete.
What is included, every time
In shortEverything a competitor would quote as a line item.
There is no drop-off tier. We do not have a version of this where equipment arrives and your team runs it, and that is a deliberate limit rather than an upsell. An unstaffed racing simulator at a corporate event produces a queue nobody manages and a leaderboard nobody resets.
What drives the price
| Driver | How it works |
|---|---|
| Configuration | The largest single factor. A VR rig and a motion cockpit are different weights, different crew sizes and different freight. |
| Number of rigs | The second rig costs less than the first. One crew and one freight movement cover both. |
| Service hours | Priced in tiers rather than per hour, so a long day does not cost double a short one. |
| Branding | Included at the screen and signage level. Physical branding, wraps and custom backdrops are quoted. |
| Timing | Rush windows add a per-staff fee. Inside two weeks we decline. |
| What it is not | Not the city, not the venue, not the distance. Those are already in the number. |
Add-ons, with prices
Branded leaderboards from $350. Custom backdrops at $2,000, which you keep. Cockpit wraps quoted per build. In-game liveries depend on the title and its licensing, which we confirm per request rather than promise in advance.
Rush terms and the booking floor
Three to four weeks out adds $300 per staff member. Two to three weeks out adds $600 per staff member. Inside two weeks we do not take the booking, at any price.
That is published as a rule because it is one. Freight, venue paperwork and crew scheduling cannot be done properly in that window, and an activation that arrives late or short-staffed costs you more than the booking saved you.
When we are the wrong call
Two cases, and we would rather you read them here than discover them on a call.
Your budget is below a half day. $5,479 is the floor for one rig. There is no stripped version underneath it, because the things we would have to strip are the staffing and the insurance, and those are the reasons this works.
You want equipment, not an activation. If you have a team who will run it and you only need the hardware, a rental house will serve you better and cost you less. We are not set up for that and we are not trying to be.
Pricing questions
How much does it cost to rent a racing simulator?
$5,479 for a half day and $5,919 for a full eight-hour service day, per rig, on our VR configuration. Four days is $13,719. Every figure is all inclusive: delivery, setup, a staffed operator for the whole event, teardown and insurance are already in it.
The other four configurations publish their own ladders, which sit higher because the equipment is heavier and the crew is larger.
Why is this more expensive than other racing simulator rentals?
Because most published rates are not for the same thing. The common comparison points are an hourly rate at a fixed venue, which you travel to, and a day rate for equipment that arrives on a pallet for your team to run.
Ours includes a crew that arrives, builds it, runs it for the duration, and takes it away. It includes freight to anywhere in the continental US rather than adding it afterwards. It includes $6M per occurrence and $8M aggregate liability, and a COI issued to your venue. If you strip those out, compare the remainder.
Is the quoted price the final price?
Yes. The number we quote is the number we invoice. There is no travel surcharge, no fuel line, no setup fee and no overtime for the hours in the quote. If you add something after signing, you approve that change in writing first.
What is a service hour?
An hour the simulator is available to your guests. Setup and teardown happen outside it and are not billed against it. A standard event day is eight service hours; a half day is four.
Do you charge for travel?
No. Freight to anywhere in the continental US is inside the quoted price. We do not operate outside the continental US.
What do rush bookings cost?
Three to four weeks out adds $300 per staff member. Two to three weeks out adds $600 per staff member. Inside two weeks we do not take the booking at all, at any price.
That last one is a rule rather than a negotiation. Freight, venue paperwork and crew scheduling cannot be done properly in that window, and an activation that arrives late or short-staffed costs you more than it saves.
Does the price change by city?
No. A rig in Seattle costs the same as a rig in Houston. We price nationally and absorb the freight difference, which is simpler for you to budget and simpler for us to quote.
How much does a second simulator cost?
Less than the first, because one crew and one freight movement cover more than one rig. Volume structure is quoted per build rather than published as a flat discount, since the saving depends on which configurations you combine.
What does branding cost?
On-screen branding and a signage kit are included at no charge. Branded leaderboards start at $350. Custom backdrops are $2,000 and you keep them. Cockpit wraps are quoted per build. In-game liveries depend on the title and its licensing, which we confirm per request rather than promise in advance.
Is there a deposit?
Yes, and the equipment is not reserved until a signed agreement and the deposit are both in place. Submitting the form does not hold a date.
Do you offer a drop-off or self-run option?
No. We do not have a tier where equipment arrives without us. It is the single most common thing we are asked for and the answer has not changed: an unstaffed racing simulator at a corporate event produces a queue nobody manages and a leaderboard nobody resets.
What is the cheapest way to do this well?
One VR rig for a half day, with the included branding rather than a wrap. That is $5,479 and it is a real activation, not a stripped one. If your budget is below that, we are not the right vendor and we will say so on the call rather than after it.
