Racing simulator rental in Las Vegas
We deliver, set up and staff racing simulators anywhere in Las Vegas, from a 10 by 10 booth at the Convention Center to a ballroom at Mandalay Bay. Pricing starts at $5,479 for a half day per rig, all inclusive, with no separate travel charge. One rig needs 10 by 10 feet and one dedicated 120V 15A circuit.
Book earlier here than you would anywhere else. During CES, SEMA, NAB and Grand Prix week, crew, freight and hotel capacity tighten across the entire city rather than just at your venue.
Las Vegas runs the densest trade show calendar in the country, which means two things for you. Your activation competes for attention against more than it would in any other city. And the operational rules here are stricter than most planners expect, particularly around load-in windows, drayage and labor.
The rooms we work, and what catches people out
In shortFive venues, each with a different dock, elevator and labor profile. Send us yours and we confirm before you book.
Las Vegas Convention Center
The West Hall expansion changed load-in logistics substantially, and the halls behave differently from one another. Freight elevator access and dock assignment depend on which hall you are in, and the dock-to-booth distance in West Hall is long enough to affect crew timing. Order power well before the advance deadline: on-site orders here are expensive and the queue on move-in morning is real.
Mandalay Bay Convention Center
Ground-level access through most exhibit halls, which makes it one of the easier large venues in the city for equipment our size. Ballroom activations upstairs are a separate question and depend on the specific service elevator.
Venetian Expo
Formerly Sands Expo. The layout is vertical in a way that surprises people. Halls sit across multiple levels and freight movement between them is slower than the floor plan suggests, so build extra time into your load-in window.
Caesars Forum
Purpose-built for meetings, with genuinely good ground-level dock access and the largest pillarless ballrooms in the city. Straightforward for equipment like ours.
Hotel ballrooms and suites
Most corporate activations in Las Vegas are not on a show floor, they are in a hotel ballroom during a conference. Usually simpler, but check service elevator dimensions rather than assuming, and confirm whether the property requires its own labor for move-in.
The elevator question
We publish crated weight, case count and largest case dimensions for every configuration. Send the venue and we confirm the rig clears the elevator before you book. No other operator in this category publishes those figures.
Your venue not listed?
Send the name. We will tell you what we know and what we would need to check, rather than assuring you it will be fine.
Give us your venue and booth dimensions and we will confirm which configurations fit and what the venue needs to supply.
Check my venueShow weeks change the price and the feasibility
In shortCES, SEMA, NAB and Grand Prix week constrain the whole city, not just your venue. Book months ahead for those.
In most cities, when you book affects lead time. In Las Vegas it affects cost and feasibility, because the whole city's supply of crew, freight and hotel rooms is consumed by whichever show is in town.
| Period | What changes | Book ahead |
|---|---|---|
| CES, January | Citywide capacity crunch. Freight, labor and hotels constrained. Load-in windows tight and strictly enforced | Months |
| SEMA, autumn | Automotive audience, the single best fit for a racing activation in the calendar | Months |
| NAB, spring | Large exhibitor booths, high production values, strong appetite for interactive | Months |
| Grand Prix week, November | The best week of the year for an F1 activation anywhere in the US. Also the most constrained | As early as possible |
| Everything else | Las Vegas becomes one of the easier cities we work. Lead time and cost both improve | 30 days min |

Grand Prix week specifically
A Formula 1 activation during race weekend is the easiest internal sell a planner has, because the event supplies the reason to exist on a specific date. It is also the week when everything costs more and books out first. That decision needs to happen months ahead rather than weeks. See the F1 rental hub for what the formula cockpit offers and who it suits.
Drayage, labor and the costs exhibitors forget
In shortMaterial handling is charged by weight, so our published crated weights let you estimate it before the invoice arrives.
Material handling
If equipment routes through the show's general contractor rather than direct to booth, you pay a material handling charge based on weight. This is the line most first-time exhibitors miss entirely. Because we publish crated weights per configuration, you can estimate it in advance rather than receive it on the final invoice.
Labor rules, power ordering and our crew
Labor rules
Requirements differ by venue and sometimes by hall, and they change. We plan for them at quoting. If a venue requires their labor for our move-in, you hear it from us before you sign rather than from a steward at the dock.
Power ordering
One dedicated 120V 15A circuit per simulator, two duplex outlets at the rig position, ordered before the advance deadline. Vegas venues charge a substantial premium for on-site orders.
Our crew
An on-site technical event manager comes with every rig for the whole show. They are technicians rather than hosts, so when something needs a recalibration at 10am on day two it gets fixed rather than reported.
All five configurations, delivered to Las Vegas
Nationwide coverage means freight sits inside the quoted price rather than being added afterwards. What changes city to city is lead time and load-in planning, not what we can bring.
VR racing simulator
Smallest footprint we run at 8 by 8 minimum. The answer for a 10 by 10 booth. Includes a spectator monitor so the crowd sees what the driver sees.
Static screen rigs
Triple screen and curved ultrawide. Fastest to build, best throughput per dollar, ideal when your load-in window is tight.
3DOF motion
Visible movement, which is what pulls a crowd down an aisle. Strongest choice when booth traffic is the goal.
F1 formula cockpit
On a motion base. The flagship, and the obvious choice during Grand Prix week or for an automotive audience.
Compare all five on footprint, power, weight, crew, setup time and throughput.
Activations we have delivered here
We do not publish a city page for a city we have not worked. If a city is missing from our locations list, it means we have not delivered there yet, not that we cannot.
What Las Vegas planners ask
In shortTravel charges, show week lead times, ballroom delivery, power ordering and drayage.
Do you charge travel to Las Vegas?
No. Freight is inside the quoted price for anywhere in the continental US. There is no separate travel line and no surprise on the invoice.
How much does it cost in Las Vegas?
The same as anywhere else. $5,479 for a half day and $5,919 for a full eight-hour day per rig on our VR configuration, all inclusive. Rush pricing applies only if you book inside 30 days.
How early should I book for CES or SEMA?
Months rather than weeks. During major show weeks the constraint is not our availability alone, it is crew, freight and hotel capacity across the whole city.
Can you deliver to a hotel ballroom rather than a convention hall?
Yes, and most of our Las Vegas work is exactly that. Confirm the service elevator dimensions and whether the property requires its own labor, and we handle the rest.
What power do I order from the venue?
One dedicated 120V 15A circuit per simulator with two duplex outlets at the rig. Order it before the advance deadline.
Will it fit a 10 by 10 booth?
Our VR rig will, at 8 by 8 minimum and 10 by 10 recommended. Other configurations need more. Send your booth size and we will tell you which work.
Do you handle drayage?
We coordinate it and publish the crated weights that determine the charge, so you can estimate in advance. The charge itself is billed by the show's general contractor.
Can you do a Grand Prix week activation?
Yes, and it is the best week of the year for one. Book as far ahead as you can, because everything in the city is constrained that week.
Do you work outside Las Vegas in Nevada?
Anywhere in the continental US. Las Vegas has its own page because we work it often enough to have learned the venues.
What if our show is in three weeks?
Rush charges apply inside 30 days, at $300 per staff member from three to four weeks and $600 from two to three. Inside two weeks we do not take the booking at all.
When we are not the right call for your Las Vegas event
If your show is inside two weeks we will not take it. That is a hard floor everywhere and it matters more here, because Vegas logistics need lead time other cities do not.
If your booth is under 10 by 10 and you also need room for meetings, one rig fills the space and leaves nowhere to talk.
If you need 6DOF full motion, we do not offer it. Our top tier is three axes, and some operators in this city go further.
