Race simulators for holiday parties

In shortThe same bracket format that works at any company party, with one difference that matters more than the activation: December sells out by October.

A holiday party has a specific problem that no other event on this site has. Every company in the country wants the same four Thursdays, and the vendors who can staff them are finite.

The activation question is easy. The calendar question is the one that decides whether you get it.

Goals

What it is there to do

Every activation is bought for a reason. These are the ones this event type is usually bought for, and the build changes depending on which one is yours.

Works across every age in the room

Holiday parties have the widest age range of any corporate event. Driving is the common denominator.

A bracket gives the evening a shape

Qualifying through dinner, a final before the speeches. The room has something to gather around.

No forced fun

Nobody has to perform. You sit down, you drive, you leave. That is the whole ask.

Photographs for internal comms

The shot of two colleagues racing with a crowd behind them is the one that ends up in the January newsletter.

Timing

The December problem, honestly

Our calendar for the first three weeks of December fills earlier than any other period of the year, and it is not close. By late October the good dates are gone.

What that means for you. If your party is in December and it is already November, ask now rather than after you have booked the venue. We will tell you within five minutes whether the date is live.

The dates that stay open longest. Early December weekdays, the week between the holidays, and January. A January party is not a consolation: attendance is usually better and every vendor you want is available.

What we will not do. Take a booking inside two weeks, including in December. The rule does not relax for seasonal demand, because that is exactly when freight and crew scheduling are tightest.

Cost

Pricing in context

Two rigs for an evening is the standard build. December dates carry no seasonal surcharge, but rush fees apply as normal: $300 per staff at three to four weeks, $600 at two to three.

Questions

What people ask about holiday parties

How late can we book a December party?

Four weeks out is comfortable. Three to four adds $300 per staff member, two to three adds $600, and inside two weeks we decline regardless of the date.

Is December more expensive?

No. There is no seasonal surcharge. The cost of booking late is the rush fee, which applies the same way in March.

What if our venue is a restaurant or a bar?

Often fine, and the limits are floor space, power and getting the cases through the door. We confirm all three in pre-event planning rather than discovering them on the night.

Can we run it alongside dinner?

Yes, and it is the better format. Qualifying runs through the meal and the final happens when people are up and moving. A bracket that competes with a seated dinner loses.

Would January be better?

Often, and we will say so. Attendance is usually higher, venues are cheaper and every vendor is available. If the date is movable, it is worth asking the question.
