Race simulator rental in Seattle
In shortSeattle is a union market where Teamsters, Carpenters and Electricians split a simulator build and one exclusive provider owns every watt in both convention buildings. Its live documents disagree on self-install limits, wheels, covered booths and electric display cars, so the contractor kit for your show decides.
We ship rigs into Seattle and staff them. Freight to anywhere in the continental US is inside the quoted price, and the price does not change by city.
Seattle is two convention buildings a block apart, each with its own dock, garage and hand-carry door, a default dock day that ends at 4:00 PM, and a labor picture that depends on which contractor holds your show. It is also the market where the venue's own vehicle form and the fire department's newer permit conditions disagree about electric cars.
Three trades, and the contractor decides how much is yours
Washington is not a right-to-work state, and the Seattle documents read like it. The general service contractor's 2027 exhibitor kit for the Seattle Travel and Adventure Show in Arch Hall EF splits a booth between three trades: Teamsters for material handling, Carpenters for erecting and dismantling, and Electricians for all electrical work.
What is not settled is how much your own people may do. Two contractor documents and a national installation firm give three different limits, and the venue gives a fourth, looser answer. The one that governs is whichever your show's contractor issues.
| Function | Who holds it | What it means for a simulator build |
|---|---|---|
| Install and dismantle | Carpenters, through the general service contractor. One contractor's 2025 rules say its booth labor comes exclusively through the Pacific Northwest Regional Council of Carpenters | Full-time employees may set their own exhibit only up to 10 by 20 feet, with no power tools or ladders, under those 2025 rules. A national installation firm's Seattle page says under 30 minutes, with no tools or ladders |
| Supervision | Your full-time employee, or a contractor foreman | One full-time employee may supervise the carpenters, or the contractor supplies a foreman at its rates |
| Material handling | Teamsters, through the general service contractor | All material handling equipment, unloading, reloading and empties. You may unload your own vehicle only with no forklift, flatbed, dolly or pallet jack |
| Electrical | Electricians, through the venue's exclusive electrical provider | All electrical work, including power lines, connecting equipment, and lighted signs not built into the back wall |
| Rigging and hanging signs | Ordered through the general service contractor | Flag specialized rigging early and pre-rig your material where possible. No Seattle document we read sets out rigging jurisdiction in more detail |
| Food and beverage | One caterer, exclusive | Exhibitors may not sell food or drink, and special orders need six weeks |
| Internet and telecom | One provider, exclusive | No document we read says whether you may run your own wireless network |
The venue's own reading is the most permissive, and it is not the one that governs the floor. Its guidelines dated 01/31/2024 say exhibitors may hire their own installation and dismantling labor, each worker badged at the staff entrance with photo ID. The contractor kits then decide which trade that labor has to belong to.
Proof is a steward question. The national installation firm's page says the union steward may request proof of full-time employment. No document we read sets a tenure test or names the proof that counts.
Breaks and hours. The 2027 kit gives labor a paid 15-minute break mid-way through each four-hour block and a one-hour meal at the end of each. The national firm publishes straight time as Monday to Friday, 8:00 AM to 5:00 PM, overtime outside that and all Saturday, and double time on Sundays and holidays. Contractor labor rates are in each show's kit, and we do not reproduce them here.
Where a show allows an exhibitor-appointed contractor, paperwork is the gate. Emerald City Comic Con's 2027 rules deny floor access without a certificate of insurance by 02/02/2027, with general liability of at least $1,000,000 per occurrence and $2,000,000 aggregate, workers compensation, and registration to work in Seattle. Our general liability is $6M per occurrence and $8M aggregate.
The plug belongs to the electrician until your kit says otherwise
One company owns every utility in both buildings. The venue names a single exclusive provider for electrical, compressed air, water, drain and natural gas, and a second for internet, wireless and telecom. Every power hookup is charged, including power from a wall receptacle.
May we plug in? The documents do not give one answer.
- The 2027 contractor kit lists connecting equipment as electrician work.
- The electrical provider's national guidance says exhibitors can usually plug in their own 120 volt equipment, that its electricians make every connection at 208 volts or above, that all under-carpet distribution is its work, and that island booths need labor for distribution. It also says each venue is different.
- The venue says all equipment must be UL certified, and electricians may verify this before they provide power.
So we plan Seattle as a market where the electrician connects. The distribution, the island drop and any 208 volt service are never yours, and the rig's certification may be checked before power goes live.
Island booths take power from the ceiling. The provider's Seattle order form, version 06/23/2025, says island service comes down from the ceiling to a main distribution point. A multi-sim island needs a scaled layout with that drop marked. An in-line booth with power only at the rear needs no layout.
No batteries. The venue prohibits portable and car batteries and power banks, and a separate restriction bars any battery device that is not UL listed, not self-contained, accepts a two-prong or larger plug, or powers anything bigger than a phone or tablet.
21 days is the price line. Advance pricing applies to orders received earlier than 21 days before the contract start, and the order form puts advance payment at 21 days before move-in. Our client supplies power, which in Seattle means an order to the exclusive provider through the venue's exhibitor portal.
Two exceptions. Each rented meeting room includes two 20 amp, 120 volt wall outlets at no charge, but exhibit halls used for a trade show do not qualify, so one rig in a breakout room is a different conversation from a row on the floor. And an organizer, rather than an exhibitor, can order a power lay-in for every booth at 20 percent off the advance price.
Seven disagreements, and the version we plan to
Every market has contradictions and we publish them. Seattle's sit on exactly the questions a simulator build asks: who may assemble it, whether it can roll, how tall the van can be, and what the fire code wants from a car.
| Question | What the live documents say | What we plan to |
|---|---|---|
| How much your own staff may build | 2025 contractor rules: up to 10 by 20, no power tools or ladders. National installation firm: under half an hour, no tools or ladders. Venue: hire your own installation labor. 2027 kit: self-setup under union rules | The show's kit governs. Until we have it, anything over 10 by 20 or needing a tool is carpenter work |
| Carts and dollies | Venue: bring your own carts, and it lends flatbeds. 2027 kit: flatbeds, dollies and pallet jacks are Teamster equipment. 2025 rules: no mechanical equipment. National firm: carts and dollies banned | No wheels of our own. A venue flatbed only where the kit allows it |
| Summit hand-carry clearance | Guidelines dated 02/09/2023: 8 ft 2 in. Guidelines dated 01/31/2024, the dock page and comic con's move-in rules: 8 ft 4 in | 8 ft 2 in. Being under never costs anything |
| When a covered booth needs a plan | 2024 guidelines: 100 sq ft or more. 2020 fire guidelines: a 101 to 300 sq ft tier. 2022 covered booth document: 100 to 300, with submittal suggested below 100 | Submit any cover at any size, three months out |
| Multi-level lead time | 2022 document: city permit three months ahead. 2020 guidelines: four months, and six for any occupied structure over 48 inches | Six months for anything a person stands on above 48 inches |
| Electric display vehicles | Venue vehicle form dated 02/21/2024 and 2020 guidelines: electric vehicles exempt. Fire department conditions revised March 2025: battery made inoperable, and no key or app able to move it | The fire department. It issues the permit, runs the inspection, and its document is newest |
| Loading bays | Venue dock page: Arch 9 plus 9, Summit 18. Venue brochure: Arch 19 at two docks, Summit 18. Preliminary Summit booklet: 19 | We name the dock, South, North or Summit, and confirm the bay with the contractor |
The old name is still live. The complex was renamed the Seattle Convention Center on 04/18/2022. The venue still serves fire safety guidelines dated 11/30/2020 under the Washington State Convention Center name, and the catering terms in a 2027 exhibitor kit still use it. If a document carries the old name, check its date before you plan to it.
Getting in: three hand-carry doors and a van that fits only two
Seattle runs two load-in systems a block apart. Each building has its own dock and hand-carry garage, and the hand-carry clearances differ by more than three feet.
| Entrance | Where | Clearance or size | What it means |
|---|---|---|---|
| Arch North hand-carry | 1521 9th Avenue, between Pike and Pine | 9 ft 8 in | The only Arch hand-carry door a standard full-size van clears |
| Arch South hand-carry | 1400 8th Avenue, Arch Garage | 6 ft 5 in | The venue says standard full-size vans will not clear it |
| Summit hand-carry | 1009 Olive Way, Summit Garage Level 1 | 8 ft 4 in, or 8 ft 2 in in the 2023 guidelines | Standard full-size vans only, no trailers. Serves every Summit level |
| Arch South Dock | 1315 Hubbell Place, enclosed two-lane ramp between Seneca and Pike | 9 bays, 4 with levelers, 16 ft high by 25 ft wide | Seven bays take 65 ft trailers, two take 32 ft trucks |
| Arch North Dock | The same ramp | 9 bays, 8 with levelers, 16 ft high | Any vehicle within federal highway height and width |
| Summit Dock | 1715 Boren Avenue, between Stewart Street and Olive Way | 18 bays | Approach southbound and turn right. No left turn from northbound Boren |
| Freight elevators | Both buildings | Arch: two rated at 20,000 lb. Summit: three freight and four service, no rating published | Ask for the Summit car and its rating in writing before a crated rig goes up |
What turns a hand-carry into material handling. Passenger elevators and escalators may not carry freight or carts. The venue has no freight storage and cannot accept deliveries for you. Vehicles too tall for the garages go to the dock, often through a marshaling yard, where the contractor handles the freight and charges material handling. The venue's hand-carry page gives the garage door at the hand-carry area as 6 ft wide by 6 ft 5 in high, and anything larger goes through the marshaling yard.
Wheels: the venue lends them and the contractor owns them. The venue tells exhibitors to bring their own carts and lends a few flatbeds at the hand-carry zone, first come, first served. The 2027 kit puts dollies and pallet jacks under Teamster jurisdiction. We plan to no wheels of our own past the hand-carry zone.
The vehicle and the clock. Hand-carry parking is free if you exit within one hour, and the venue strictly enforces its loading time limit. The 2027 travel show kit's cartload service is one trip of up to 250 lb from a small passenger vehicle, with two people at the vehicle and anything over three-quarter ton excluded. Comic con's 2027 rules ban loading on the Arch skybridge and the outdoor truck bridge.
The combination that works at Arch: two crew, a standard full-size van, the north door on 9th Avenue. The same van will not fit under the 6 ft 5 in bar at the south garage on 8th Avenue.
The 4:00 PM line, and how our setup windows meet it
Seattle's docks run Monday to Friday, 7:00 AM to 4:00 PM, unless show management asks otherwise. Hand-carry hours are set per show. For Emerald City Comic Con in 2027 they run 8:00 AM to 8:00 PM on 03/03 and 8:00 AM to 10:00 AM on 03/04.
Our setup the day before service is included after 4:00 PM, and early setup from 12:00 to 4:00 PM is $500. In Seattle the included window opens the minute the default dock day closes.
- By dock: either show management extends dock hours for move-in, or the 12:00 to 4:00 PM window is the one that fits the building.
- By hand-carry: the show's own hand-carry hours govern, and on a large show they can run later than the dock day.
- Weekends: a show management decision, because default dock hours are weekdays only.
The calendar math on short notice. A contract signed 3 to 4 weeks out adds $300 per staff, 2 to 3 weeks out adds $600 per staff, and we do not take bookings inside 2 weeks. Seattle's electrical advance price ends 21 days before contract start, so a booking signed 2 to 3 weeks out lands on or after that line. A covered booth needs three months of fire approval, so a short-notice booking cannot include a canopy.
The price does not move for Seattle. Per rig, $5,479 for a half day of 4 service hours and $5,919 for a full day of 8, including delivery, setup, one on-site technical event manager per simulator, teardown and insurance, with freight inside the price. The client supplies power, tables, chairs and TV stands. Venue-exclusive electrical, material handling, union labor and catering are billed by the venue or its contractors, so a Seattle total can arrive on more than one invoice.
Fire: a 100 square foot line and a 12 month clock
Covered booths. The venue's 2024 guidelines require a booth plan for any roof or covered area of 100 square feet or more, with at least three months for approval. Covered means anything placed over the exhibit, including a canopy, tent or fabric. From 100 to 300 square feet the venue requires Fire Marshal approval three months out, a 2A 10BC extinguisher inside, a smoke detector at the highest point and a power cut-off for non-show hours. Above 300 it adds a temporary sprinkler system tied into the building's life safety system, and approval may need six months.
So a branded canopy over a two-rig row is a three-month fire item in Seattle, and a canopy over a large island is a sprinkler item. Open grate or mesh with openings over a quarter inch, or a UL listed drop-out ceiling, may be exempt from sprinklers. Separate covered areas must be at least 10 feet apart.
Multi-level and tall structures. Every multi-level booth needs a City of Seattle temporary structure permit with two sets of stamped engineering drawings. The venue's documents give three, four or six months depending on edition and height, with six for any occupied site-built structure over 48 inches. A raised spectator deck beside a rig row crosses that line.
The floor plan clock is the longest in the building. The venue's fire safety guidelines tell organizers to start floor plan approval about 12 months ahead. Permit applications under 30 days out carry a 50 percent late surcharge, and those three business days or less ahead may not be processed. Display vehicles must be on the floor plan, so a car added late is a floor plan change that goes back to the venue and the fire department.
Materials and storage. Drapes, carpet, signs and plastic displays need NFPA 701 or CPAI 84 certification kept in the booth, and spray-on treatment is not accepted. Wood thicker than a quarter inch counts as flame resistant. Empty boxes and packing material are banned from the halls, including behind drapes, so empty rig cases leave the floor.
Aisles and edges. The 2020 guidelines require a 10 foot perimeter aisle and a 12 foot cross aisle, or two 10 foot cross aisles at least 40 feet apart, and the 2027 travel show kit says nothing may extend beyond the booth space.
Putting a car on the floor, and the electric car question
Fuel is the one rule every Seattle document agrees on: a quarter tank or 5 gallons, whichever is less, from the venue, the Seattle Fire Department and the 2027 contractor kit alike, with diesel at a quarter tank. The rest of the list, from the venue's 2024 vehicle form and the fire department's 2025 permit conditions:
- Fuel cap locked or taped, and the interior fuel latch disabled.
- Battery cables disconnected and taped.
- A fuel load certificate on the dashboard showing date, contact, signature, fuel amount, cap and battery status.
- An extinguisher rated at least 2A-40BC within 75 feet, serviced within the year.
- No fueling or defueling inside or with the public present.
- Polyethylene sheeting underneath. The venue says there are no exceptions.
- On the floor plan, a delivery and removal schedule to the event manager, and no movement during event hours.
- No working fuel gauge means off the floor unless the Fire Marshal approves in advance.
The 2027 kit adds keys left with show management, the vehicle locked outside show hours, and spotting inside the hall done only by the contractor's personnel.
The contradiction that matters for a racing brand. The venue's 2024 vehicle form and its 2020 fire guidelines say electric vehicles are exempt. The fire department's 2025 conditions say electric vehicle batteries must be made inoperable by removing fuses or another approved method, and that no key or phone app may be able to move an electric-only vehicle. We plan to the fire department. It issues the permit, runs the final inspection, and its document is newer.
A car that powers a sim is still a car on display. The venue requires any display vehicle with operating equipment to run on shore power from the exclusive provider, with car batteries banned. A car-based rig with screens running plugs into the building, its own battery disconnected.
Floor load. The venue markets heavy-load exhibit space with drive-in access in both buildings and publishes 250 pounds per square foot for the Summit Flex Hall. We found no per-square-foot figure for either exhibit hall. Outdoors, the city lists a Special Hazards permit for vehicles on display.
Arch, Summit and the rooms a corporate event actually uses
The Seattle Convention Center is two main buildings a block apart. Arch, the original building on Pike Street, straddles Pike, 8th Avenue and Interstate 5 and connects with Freeway Park. Summit, one block north on Pine Street, hosted its first event on 01/13/2023 on the site of the former Convention Place transit station. They share a name and a contractor list, and nothing else that matters at load-in.
| Venue | Scale and floor | What matters operationally |
|---|---|---|
| Seattle Convention Center, Arch | 205,700 sq ft of heavy-load exhibit space with drive-in access. Ballrooms up to 29,580 sq ft combined | Two docks off one enclosed ramp and two 20,000 lb freight elevators. The room for a vehicle or a heavy crate |
| Seattle Convention Center, Summit | Exhibit Hall 138,700 sq ft at 30 ft. Flex Hall 99,250 sq ft at 250 lb per sq ft. A column-free 58,000 sq ft ballroom up to 55 ft | One dock and freight elevators with no published rating. The carpeted, acoustically treated Flex Hall suits a rig row inside a conference. Figures are from a 2021 preliminary booklet |
| Lumen Field Event Center | 325,000 sq ft of exhibit space by the stadium's count, 200,000 plus by one contractor's, and 78,940 more in Lumen Field Plaza | A 2,000-car garage off South Royal Brougham Way. It was the CenturyLink Field Event Center in contractor documents as late as 2016. No ceiling, floor load or dock figures published on the page we read |
| Seattle Center Exhibition Hall | 34,000 sq ft, 160 by 220 ft, ceiling 7 ft 11 in to 18 ft 6 in | Under 8 ft at its lowest and no rigging from the ceiling. Static load 250 lb per sq ft, vehicles to 5,000 lb, no steel tread wheel dollies, no porter service |
| Hyatt Regency Seattle | 1,260 rooms, 103,000 sq ft of meeting space by one trade report, largest room 19,087 sq ft | Across the street from Summit and described as the convention center's headquarters hotel |
| Sheraton Grand Seattle | 1,236 rooms, more than 77,000 sq ft of meeting space, largest room 18,300 sq ft | One block from Arch, three from Summit |
Seattle Center's hall has the strictest power rule in the market. Connections there must be made by Seattle Center staff or a Washington State licensed electrician it approves. The hall has three 200 amp and one 100 amp three-phase services plus 120 volt perimeter outlets, event requirements are due 15 days ahead, and nobody there can sign for a delivery.
Quote the hall, not the campus. A national contractor credits the complex with 998,000 square feet of exhibit space. The venue's brochure gives 434,080 square feet of event space at Arch and 570,290 at Summit, of which 205,700 and 149,200 are heavy-load exhibit space. Only the hall on your contract decides the build.
The Seattle calendar, and the February stack
| When | What | Where | Notes |
|---|---|---|---|
| 11/19 to 11/21/2026 | Pacific Marine Expo | Lumen Field Event Center | Aggregator listing |
| 01/08 to 01/10/2027 | Northwest Remodeling Expo | Seattle Convention Center | Aggregator listing. The venue's 2024 vehicle form we read was issued for this show |
| 02/17 to 02/21/2027 | Northwest Flower and Garden Festival | Seattle Convention Center | Aggregator listing. Hosted at the center since 1989, about 60,000 visitors |
| 02/18 to 02/21/2027 | Seattle RV Show | Lumen Field Event Center | Aggregator listing |
| 02/25 to 02/27/2027 | Seattle Home and Garden Show | Lumen Field Event Center | Aggregator listing |
| 03/04 to 03/07/2027 | Emerald City Comic Con | Seattle Convention Center | Organizer confirmed. Move-in 03/02 and 03/03, contractor insurance due 02/02/2027 |
| 03/20 to 03/21/2027 | Seattle Travel and Adventure Show | Arch Hall EF | Organizer confirmed. Move-in 03/19, most order deadlines 03/04/2027 |
| July 2027 | NHRA Northwest Nationals | Pacific Raceways, Kent | 2027 dates not published. The 2026 race moved a week later, to 07/24 to 07/26/2026 |
| 09/03 to 09/06/2027 | PAX West | Seattle Convention Center | Organizer announced. Labor Day weekend |
The February stack is the window to plan around. From 02/17 to 02/27/2027 the listings put a five-day festival in the convention center and two consumer shows back to back at Lumen Field Event Center, with comic con move-in on 03/02. Both large exhibit venues, and the contractors who serve them, are busy for most of a fortnight. Book freight and labor early and assume the docks are full.
Labor Day weekend is the other one. PAX West holds the convention center through Monday 09/06/2027, a holiday, which is double time on the national installation firm's published schedule for any show that needs union labor that day.
We could not confirm 2027 dates for Sakura-Con, held at the center since 2006, or find published hotel occupancy data naming the hardest hotel weeks. We have not guessed at either.
Where to stay
| Hotel | Connection | Tier | Good for |
|---|---|---|---|
| Hyatt Regency Seattle | 1 block to Summit, 2 to Arch | Upper upscale | 1,260 rooms, the headquarters hotel across from Summit. The block for a Summit show |
| Sheraton Grand Seattle | 1 block to Arch, 3 to Summit | Upper upscale | 1,236 rooms in two towers. The Arch-side counterpart for a large team |
| Grand Hyatt Seattle | 1 block to both | Luxury | 457 rooms. The one large hotel a block from each building, for a show using both |
| Hyatt at Olive 8 | 1 block to Summit, 2 to Arch | Upscale | 346 rooms. A Summit-side option when the headquarters block sells out |
| Hotel Theodore | 1 block to Arch, 2 to Summit | Upscale boutique | 153 rooms. A short walk to Arch and a quieter lobby for the account team |
| Residence Inn Seattle Downtown/Convention Center | 3 blocks to Arch, 2 to Summit | Extended stay | 302 suites with kitchens, for a crew on a multi-day install |
| The Westin Seattle | 4 blocks to Arch, 5 to Summit | Upper upscale | 891 rooms. Block capacity when a citywide fills the closer hotels |
| DoubleTree by Hilton Seattle Airport | 14.8 miles to Arch | Upscale | 850 rooms. For a crew flying in and driving its own truck |
Across the lake is now a train ride. Since 03/28/2026 light rail crosses Lake Washington on the I-90 floating bridge, and downtown Bellevue to Chinatown-International District takes about 20 minutes. The bureau grid lists the Hyatt Regency Bellevue at 731 rooms, about 10 miles from both buildings, which suits an account team better than a rig crew that must meet the dock at opening.
The venue's brochure counts more than 8,500 rooms within six blocks, and a trade report at Summit's opening counted about 15,000 around the complex. The difference is the radius, so ask each hotel for its walk to your building.
Getting around: a closed station, a new bridge line and a one-way approach
- The station in old directions no longer exists. Convention Place station closed permanently on 07/21/2018 and Summit was built on its site. Directions that still send visitors there are eight years stale.
- Light rail crossed the lake in 2026. The Crosslake Connection opened on 03/28/2026, joining the 2 Line to the 1 Line at International District/Chinatown. Trains run about 5:00 AM to midnight daily, every 4 to 5 minutes on the shared section north of that station.
- From the airport. The venue calls itself easily accessible to SEA Airport and Link light rail. We did not read an airport timetable for this page, so we quote no ride time.
- Trucks to Summit come from the north. Do not turn left from northbound Boren Avenue. Approach southbound and turn right into the dock.
- Trucks to Arch use an enclosed ramp from Hubbell Place, between Seneca and Pike, under a building that straddles Interstate 5.
- Parking. Summit has an attached garage open seven days a week. Arch has the Arch Garage and the adjacent Freeway Park Garage.
- Not verified. Current or planned I-5 closures through downtown in 2027. Check the state transportation department's schedule the week before move-in.
Taking a client out
Pacific Raceways, Kent. Open since 1960 and the market's one national-series venue: a quarter-mile drag strip home to the NHRA Northwest Nationals, and a 2.25-mile, 10-turn road course with more than 125 feet of elevation change through a wooded back section. It lists a racing school and track sessions for your own car, and group discounts and VIP hospitality for the NHRA weekend. We found no published corporate program outside that weekend, so ask before you promise one.
The Ridge Motorsports Park, Shelton. A 2.47-mile, 16-turn road course with more than 300 feet of elevation change. It hosts SCCA Track Night in America, a non-competitive session for street cars that requires drivers 18 or over with a license and an approved helmet. A day out, not an evening, and we did not confirm a drive time.
K1 Speed, Redmond and Tukwila. Indoor electric karts to 45 mph for drivers 4 ft 10 in and taller, with team packages, buyouts and a meeting room with A/V. Redmond is about 13 miles from downtown and opens at noon Monday to Thursday, so a morning session needs a buyout. Tukwila opened in December 2024. The chain's Seattle page is its Redmond center, and the regional tourism directory still lists a different karting brand at the Tukwila address. Book against the address, not the listing.
Dinner, and the day you arrive. Verified on 11/04/2026: the reservation page for Canlis, the city's best-known special-occasion room, says it is not currently accepting reservations. A third-party hours guide that says it checked in June 2026 lists Canlis as closed Sunday and Monday, and Aqua by El Gaucho and Willmott's Ghost as closed Monday, which is when a team arrives for a Tuesday move-in.
- Arrival-night client dinner: the same guide lists Spinasse open Monday from 5:00 PM and Il Terrazzo Carmine for Monday lunch and dinner.
- Small-group seafood: The Walrus and the Carpenter and How to Cook a Wolf open at 4:00 PM on Mondays, per the guide.
- Crew meal after teardown: Ba Bar is listed open until midnight on Monday.
The guide is third-party. Confirm the day, not the name.
Why a simulator reads as native here, and where it does not
Seattle's racing culture is drag racing, club road racing and track days, rather than a national stock car or open-wheel weekend. The NHRA Northwest Nationals ran at Pacific Raceways for the 37th time in 2026, the 12th of 21 national stops. Around it sit two road courses, Pacific Raceways and The Ridge, with Portland International Raceway on the same regional club calendar.
We did not find a NASCAR, IndyCar or F1 race in the Seattle market in anything we read. So a simulator here reads as native to the enthusiasts in the room and as a novelty to everyone else, which argues for an open lap-time challenge with a visible leaderboard rather than an activation that assumes the audience follows one series.
One name correction that buys credibility. The Kent track is Pacific Raceways. It was Seattle International Raceways from 1969 to 2001 and reverted when the landowner regained control in 2002, so directories still using the old name are a quarter-century stale. A 2014 for-sale story also still circulates; a March 2026 reference snapshot lists the same family as owner, and the track publishes a 2026 schedule.
Two venue names to get right. The Seattle Convention Center, not the Washington State Convention Center, with buildings named Arch and Summit. And Lumen Field Event Center, not CenturyLink Field Event Center.
Proof, stated honestly
We have not published a named Seattle case study on this page and we are not going to imply one. When we do, it will name the client, the venue and the number they were measured on.
What is checkable today is everything above. The jurisdictions, power rules, clearances, docks, fire and vehicle conditions and calendar came from the venue's exhibitor, fire safety, covered booth and display vehicle documents, its dock and utility pages and brochure, the Seattle Fire Department's 2025 permit conditions, contractor kits and work rules for named 2025 and 2027 shows, and the electrical provider's Seattle order form and national guidance, all read on 11/04/2026.
Where documents contradict each other we have published every version and said which one we plan to. What we could not confirm: whether an exhibitor may plug a rig into a delivered outlet at a convention center show, whether an exhibitor may run its own wireless network, the rating of Summit's freight elevators, a floor load for either exhibit hall, and 2027 dates for Sakura-Con and the NHRA Northwest Nationals. An absence of a published rule is not a published permission.
Seattle questions
Can our own staff set up the simulators at the Seattle Convention Center?
It depends on your show's contractor, and the documents give three limits. One contractor's 2025 rules let full-time employees set their own exhibit only up to 10 by 20 feet, with no power tools or ladders. A national installation firm's Seattle page says under half an hour, with no tools or ladders. The venue says exhibitors may hire their own installation labor.
So a two-rig build inside 10 by 20, assembled by hand, may be yours. A larger island, or anything needing a power tool or ladder, is carpenter work. We plan to the strictest version until we have your show's kit.
Is Seattle a union market, and which unions?
Yes. The 2027 contractor kit for a show in Arch Hall EF names Teamsters for material handling and unloading, Carpenters for erecting and dismantling booths, drapery, floor coverings and uncrating, and Electricians for all electrical work, including connecting equipment. A 2025 contractor's rules say its booth labor comes exclusively through the Pacific Northwest Regional Council of Carpenters, and the union steward may ask for proof of full-time employment.
Can we plug the rigs in ourselves?
Plan on no. The 2027 contractor kit lists connecting equipment as electrician work. The electrical provider's national guidance says exhibitors can usually plug in 120 volt equipment, but also that each venue is different, and it is not a Seattle rule.
What is certain: one provider owns all power in both buildings, every hookup is charged, an electrician may verify the rig is UL certified before power goes on, and battery packs and power banks are banned outright.
Can we use a dolly or a hand cart?
Not your own, past the hand-carry zone. The 2027 kit puts dollies, flatbeds and pallet jacks under Teamster jurisdiction, the 2025 rules bar exhibitors from mechanical equipment, and a national installation firm's Seattle page says carts and dollies are banned.
Yet the venue tells exhibitors to bring their own carts and lends a few flatbeds at hand-carry, first come, first served. We plan to no wheels of our own and use a venue flatbed only where the show's kit allows it.
Which hand-carry entrance will our van fit?
At Arch, the north entrance at 1521 9th Avenue clears 9 ft 8 in and takes a standard full-size van. The south entrance through the Arch Garage at 1400 8th Avenue clears only 6 ft 5 in, and the venue says full-size vans will not fit.
At Summit, the garage at 1009 Olive Way clears 8 ft 4 in on current guidelines and 8 ft 2 in on the 2023 edition, full-size vans only and no trailers. Anything taller goes to a dock and becomes material handling.
Arch or Summit for a multi-sim build?
Arch, if there is a vehicle or a heavy crate. Its South Dock takes 65 ft trailers with 16 by 25 ft of clearance, and its two freight elevators are rated at 20,000 lb, the only rating we found published for either building.
Summit's Flex Hall suits a rig row inside a conference: 99,250 square feet, carpeted, acoustically treated and rated at 250 pounds per square foot. Either way, quote the hall rather than the campus.
Will the freight elevator take a crated motion rig?
At Arch, the venue publishes two freight elevators rated at 20,000 lb. At Summit it publishes three freight and four service elevators and, in nothing we read, a rating or car size. For any Summit job above the exhibit level we will ask for both in writing before the rig ships.
Can we put a car in the booth?
Yes. A quarter tank or 5 gallons, whichever is less, with diesel at a quarter tank. Cap locked or taped, fuel latch disabled, battery disconnected and taped, sheeting underneath, a fuel load certificate on the dashboard and a 2A-40BC extinguisher within 75 feet.
The car must be on the floor plan for Fire Marshal approval and cannot move during event hours. Under the 2027 kit, keys stay with show management and only the contractor spots the vehicle in the hall.
What about an electric car?
The documents split. The venue's vehicle form dated 02/21/2024 and its 2020 fire guidelines say electric vehicles are exempt. The Seattle Fire Department's permit conditions, revised March 2025, require the battery be made inoperable by removing fuses or another approved method, and that no key or phone app can move an electric-only vehicle.
We plan to the fire department, because it issues the permit and runs the final inspection, and its document is newer.
Does a canopy over the simulators need approval?
Yes, from 100 square feet, with at least three months of lead time. Up to 300 square feet that means Fire Marshal approval, an extinguisher inside, a smoke detector at the highest point and a power cut-off. Above 300 add a temporary sprinkler system and allow up to six months.
Below 100 square feet, the venue's covered booth document still suggests submitting the plan. We submit any cover at any size.
How far ahead does Seattle need the floor plan?
Further than most markets. The venue's fire guidelines tell organizers to start about 12 months ahead. Applications under 30 days out carry a 50 percent late surcharge, and three business days or less may not be processed. Display vehicles must be on the plan, so adding a car late sends the plan back through the venue and the fire department.
Can we run our own Wi-Fi for a live leaderboard?
We could not confirm either way. Internet and wireless are exclusive to one provider in both buildings, and no document we read says whether an exhibitor may run its own network. Treat a networked leaderboard as an order to that provider, and ask the event manager in writing before planning on your own access point.
When are the loading docks open?
Monday to Friday, 7:00 AM to 4:00 PM, unless show management asks otherwise. Hand-carry hours are set per show.
Our included setup window starts after 4:00 PM the day before service, the minute the default dock day ends. For a dock delivery, either show management extends dock hours or the early 12:00 to 4:00 PM window, at $500, is the one that fits.
Which weeks should we avoid in Seattle?
Late February into early March 2027. The listings put a festival in the convention center from 02/17 to 02/21, two consumer shows at Lumen Field Event Center from 02/18 to 02/27, and comic con move-in on 03/02. Several of those dates are aggregator listings, so confirm them.
And Labor Day weekend, when PAX West runs 09/03 to 09/06/2027 and the Monday is a double-time holiday on the national installation firm's schedule.
Is the Kent track still called Seattle International Raceway?
No. It is Pacific Raceways. It opened in 1960, carried the Seattle International Raceways name from 1969 to 2001, and reverted in 2002. It hosts the NHRA Northwest Nationals, which in 2026 moved to 07/24 to 07/26 for its 37th running at the track.
Where should we take a client on a Monday night?
Check before you book the name. On 11/04/2026 the reservation page for Canlis said it is not accepting reservations, and a third-party guide that says it checked in June 2026 lists Canlis as closed Sunday and Monday and two other well-known rooms as closed Monday.
The same guide lists Spinasse open Monday from 5:00 PM, Il Terrazzo Carmine for Monday lunch and dinner, and Ba Bar until midnight for a crew after a late teardown. Confirm the day, not the name.
