Race simulator rental in Austin

In shortAustin has no convention center until spring 2029, so shows run at the city-owned Palmer Events Center and in hotel ballrooms. Palmer lets your own staff build but owns every electrical connection and accepts no freight, and the hotels move the critical dimension from a dock door to a freight elevator door.

We ship rigs into Austin and staff every one of them. Freight is inside the quoted price, and the price is the same as anywhere else in the continental US.

Austin is a market with no convention center at all. The old building closed on 04/01/2025 and the new one opens in spring 2029, so for four years the shows run at the city's Palmer Events Center and across hotel ballrooms, and a dock question becomes a freight elevator question.

Status

Closed until spring 2029, and what that changes

The Austin Convention Center closed on 04/01/2025, just after SXSW 2025, and the building has been demolished. The city's redevelopment site reports structural demolition 100 percent complete in September 2025 and diaphragm walls going in from December 2025. The convention bureau says construction is on schedule to finish by late 2028 and the new center reopens in spring 2029, in time to host SXSW.

That is about four years without a convention center. Visit Austin's chief executive called it 40 months of construction and said the city is not closed for meetings business between 2025 and 2029. Both are true, and the second depends on planners changing how they build.

From the city's redevelopment site, the convention bureau's planner pages, the convention center's own July 2026 post and three trade reports, verified 11/04/2026.
QuestionWhat the sources sayWhat we plan to
Is it open?Closed 04/01/2025, after SXSW 2025. Demolition ran from April to October 2025Closed. Nothing books into it before 2029
When is construction finished?Late 2028 per the convention bureau, December 2028 per a September 2025 trade reportConstruction complete is not open. We plan to the opening, not the handover
When does it reopen?Spring 2029 per the bureau and the center's own 07/09/2026 post, with SXSW as the first eventNo show in the new building before SXSW 2029
How big is the new building?620,000 sq ft rentable, up from 365,000. A trade report adds four exhibit halls with 336,000 sq ft column-free, four ballrooms totaling 47,000 sq ft and 28 underground loading docks. Outdoor space is 75,000 sq ft in the center's post and 70,000 in a trade reportPress figures, not an exhibitor manual. No manual exists yet, so there are no dock or power rules to plan to

What changes for planners until spring 2029:

  • No single building holds a large show. The bureau sells what it calls mini-wides, one meeting spread across three or four hotels, and its executive vice president said the format has taken some convincing.
  • The remaining city exhibit floor is Palmer Events Center, beside Lady Bird Lake and Auditorium Shores, with about 70,000 sq ft of column-free exhibit space in two halls. Its rigging, insurance and safety documents carry the Austin Convention Center Department's name.
  • Most of what used to be a convention center booth is now a hotel ballroom booth. The dimension that decides the build moves from a dock door to a freight elevator door.
  • SXSW stayed and moved into hotels and theaters. In March, the ballroom you would have booked is a festival venue.

Where the shows went: Palmer and the hotel campuses

Austin replaced one building with a set of campuses. Each has its own operator, electrical provider and documents, so a show that used to sit under one exhibitor manual now sits under two or three. We read the rules for the specific hotel, not the collection.

From the convention bureau's planner pages, the venues' own pages, a hotel's vendor loading document and trade reports from 2024 to 2026, with room counts as reported and two reports disagreeing on one, verified 11/04/2026.

Jurisdiction

Palmer: your crew builds, the venue connects

Palmer's operational policy calls it an open dock. Exhibiting firm personnel are allowed to unload, install and dismantle their own exhibits, and exhibitors may handle their own freight.

The official contractor's manual for a named 2026 show at Palmer, the National College Fair on 03/05/2026, agrees: full-time employees of exhibiting companies, or approved exhibitor-appointed contractors, may set up without union labor. The contractor also has agreements with local unions for installation and dismantling if you order it.

What the venue keeps is everything that comes out of a wall. Palmer's four exclusive services are food and beverage, security, telecommunications and data, and utilities, defined as electrical, technical services, water and drain.

From the venue's operational policy, its exhibitor page and the official contractor's manual for a 2026 show at the venue, verified 11/04/2026.
FunctionWho holds itWhat it means for a simulator build
Install and dismantleExhibiting firm personnel, or the contractor's union laborOur crew builds and strikes the rigs. No size or time limit is published, and we found no tenure or paystub test in any Palmer document
Freight and material handlingThe official contractor. The venue accepts no freightFreight ships to the contractor's warehouse or arrives with the crew
Electrical, water, drain, technical servicesPalmer, exclusiveOnly venue personnel make service connections or access wall and floor pockets
Internet and telephonePalmer, exclusiveComplimentary Wi-Fi. A wired line for a leaderboard is a venue order
RiggingSupervised by a Palmer rigging specialistOver 100 lb overhead needs their approval, everything dead hung, plan due 31 days out
Food and beverageThe in-house caterer, exclusiveNo outside food or drink. Samples capped at 3 oz of beverage and 1 oz of food, with written authorization
SecurityPalmer, exclusiveIncludes the service yard staff who must be in place before move-in starts
Booth cleaning, tables and chairsThe client or the official contractorPalmer provides no booth furniture or cleaning. Tables, chairs and TV stands come through the contractor

The useful way to hold it: at Palmer the labor question is easy and the utility question is total. Your crew may do the work. It may not touch the power.

Insurance, if the show treats us as a contractor. The 2026 manual asks each exhibitor-appointed contractor for at least $1 million in liability coverage plus workers' compensation, with the official contractor named as additional insured and the form filed by 02/18/2026, 15 days before the show. Our general liability is $6M per occurrence and $8M aggregate. The limit is not the issue. The deadline is.

Electrical

Power at Palmer is a venue product, end to end

Palmer provides all utilities as an exclusive service, and only Palmer personnel may provide electrical service connections. Wall, column and permanent building outlets are not part of the rental or of an exhibitor's booth, and access to every wall and floor pocket is restricted to venue staff.

Floor pockets sit on 30-foot centers. Layouts off that grid may be assessed additional charges, and some utilities are not available to some booths. A simulator row laid out without the grid in hand can buy a cable run nobody budgeted.

What applies to our equipment:

  • Electrical equipment must be listed by a recognized testing laboratory.
  • Extension cords must be three-wire grounded, 14 gauge or better.
  • Services are audited before and during the event, and anything in use but unpaid is invoiced at the standard rate.
  • Services ordered and not used are not refunded.
  • Unscheduled labor may be charged at one and one-half times the regular rate, and on-site orders at the standard rate plus labor.

The question no Palmer document we could read answers. No policy page says whether an exhibitor may plug its own equipment into an outlet the venue has delivered. The utilities section reserves service connections to venue staff and stops there, and the venue's booth power quick guide is a PDF we could not open in this session. An absence of a rule is not a permission, so we price Austin as if a venue electrician may need to be on the call, and we ask the event coordinator in writing.

The deadline is earlier than the show. For the 03/05/2026 college fair, the discounted electrical rate required an order before 02/18/2026. Venue policy has order forms reach exhibitors at least 30 days before the first contract date. Our power order goes in with the first paperwork.

AV is a separate line. Electrical and audio patches into the house system come only through the venue's preferred AV company, so a simulator feed to a house screen is an AV order.

Contradictions

Where the Austin documents disagree

We publish contradictions rather than pick the convenient version. Four of Austin's sit on questions that cost a day: who controls the dock, where the van goes, when a canopy needs the fire marshal and how much fuel a display car may carry.

From the venue's operational policy, the official contractor's 2026 manual, a 2026 show's exhibitor page and prospectus, the convention bureau and a venue directory, all live documents, verified 11/04/2026.
QuestionWhat the live documents sayWhat we plan to
Who controls the dock at PalmerThe venue says it never relinquishes control of the loading dock and assigns dock space. The 2026 contractor manual says the contractor controls the docks at all timesBoth. A dock pass from the contractor's representative at the gate, and dock space as the venue assigns it
Parking in the service yardVenue policy: not allowed. A 2026 show's page: allowed if space is available. A 2026 expo contract: free until full, while the same expo's FAQ says $12No parking. Unload, then move the vehicle
When a covered booth needs approvalThe exhibits section: over 100 sq ft. The fire section, twice: over three hundred square feet (400 sq. ft.)100 sq ft, the strictest reading. The fire section cannot agree with itself
Fuel in a display vehicleVehicle section and contractor manual: no more than 5 gallons or a quarter tank, whichever is less. Fire section, under compressed gases: a tank permanently installed in a display vehicle must be completely emptyA gasoline car at the 5-gallon rule, cap locked. A permanently installed gas tank arrives empty. Confirmed with the fire marshal in writing
Who catersVenue policy: the in-house company it names as ACC Catering. A 2026 expo prospectus: Levy CateringWhichever the venue names on your contract. We could not confirm whether these are one operation
How big the halls areConvention bureau: 70,000 sq ft of exhibit space in two halls, 131,000 sq ft in total. A venue directory: 45,000 sq ft maximum on one floor and a 7 ft ceilingThe 7 ft ceiling is plainly an error. We quote the hall from the venue's floor plan, which we could not open in this session
Shipping and deadlinesThe 2026 contractor manual says no direct to show site but describes show-site receiving in its FAQ, and gives 02/25/2026 for freight, 02/18/2026 for banners and three cutoff times for one dayWarehouse only, at the earliest date and the earliest time

The transition shows in the paperwork too. The only PDF linked from Palmer's operational policy site is titled as the ACC operational policy for 2024 to 2025, for a building that closed on 04/01/2025, and Palmer's live booth security form still carries FY20 rates. We work from the live section pages.

Load-in

Getting in at Palmer: the service yard, two wheels and a 7 foot 2 inch garage

Everything goes through the service yard. Move-in and move-out run through the service yard, the designated docks, freight elevators and freight doors. Lobbies, side doors, escalators and passenger elevators are excluded.

Move-in cannot start until the yard is staffed. The venue requires at least three of its event security staff and one licensed peace officer in the service yard, and the official contractor stations a representative at the gate to issue dock passes. However early the truck arrives, nobody unloads before that.

Palmer accepts no freight. Not before, during or after an event. Carrier deliveries are refused, venue staff cannot sign for anything, and nothing may be stored on or near the dock or behind booths.

Two wheels, not four. The 2026 contractor manual allows hand-carry or a two-wheel dolly into the hall and bans four-wheel dollies, flatbed carts and other mechanical equipment. The venue provides no carts. The contractor's cartload service is one trip: 10 pieces or fewer, under 200 lb, on a 3 by 4 ft cart, from a privately owned vehicle only.

The garage will not take a high-roof van. Palmer's 1,200-space garage has a 7 ft 2 in clearance, with entrances on Barton Springs Road and Riverside Drive, and the venue recommends Riverside when there is traffic. With no parking in the service yard, the vehicle needs a parking plan before it leaves Houston.

Floors get protected. Carpet takes at least 6 mm polyethylene sheeting. Anything over 1,500 lb, or beyond an average pallet jack, needs temporary carpet or plywood over reinforced sheeting. Driving into the exhibit halls to load or unload is restricted.

How a move-in window meets our setup times. The 11/12/2026 apartment association expo at Palmer moves in on 11/11/2026 from 1:00 to 5:00 PM and on show day until 3:00 PM, then moves out from 8:00 to 11:00 PM that night. Our setup after 4:00 PM the day before service is free, and setup from 12:00 to 4:00 PM the day before is $500. When the door closes at 5:00 PM, the free window is one hour, so on a show like this the early window is usually the one to book.

Ballrooms

Hotel ballrooms: the freight elevator decides the build

With the convention center gone, the hotel ballroom is the Austin trade show floor. A hall has a dock door a truck can reach. A ballroom on the 6th floor has an elevator.

The Hilton Austin publishes the numbers, which is rare. Its vendor loading document, dated September 2025, covers everything we need except the electrical provider.

Ballroom routesGovernor's Ballroom on the 4th floor, Grand Ballroom on the 6th, service hallways 8 ft by 8 ftThe elevator door is the tightest point on the route

The JW Marriott Austin publishes rules but no dimensions. Official contractor pages for shows there in 2018 and 2024 both say no direct shipments are accepted, and the 2024 page says the hotel cannot receive freight and lacks the storage. Freight goes to the contractor's warehouse. For the 2024 show that window closed five days before opening, and everything shipped out direct from the show site, with no return to the warehouse.

For a 2026 conference in the JW's Level 4 exhibit area, electrical, extra bandwidth and AV went through the hotel's in-house technology partner. A bellman may deliver boxes to the exhibit hall doors, after which the official contractor takes them in at material handling rates, and hand-carry is allowed only in one trip.

One JW show's documents disagree with themselves. The 2018 freight page says absolutely no direct shipments. The same show's bellman page says direct freight will be received on move-in days only. We plan to the first.

What we could not find: any dock, elevator or electrical provider details for the Fairmont Austin, the largest hotel meeting footprint in the city, and any elevator dimension or capacity for the JW. Where a hotel does not publish them, we ask for the car size, the door height and the weight capacity in writing before we quote a configuration.

Fire

Fire rules: canopies over 100 square feet, display cars and a one-year floor plan

Palmer's fire rules run through the city fire marshal's office, and a floor plan is not approved until both the venue and the fire marshal have stamped it.

A preliminary floor plan is due one year before the first contract day. That clock is the organizer's, but it shows how early layouts lock. A changed final plan must be resubmitted at least 31 days before move-in, or fees may apply. A simulator row added late is a resubmission.

Covered rigs. A covered booth over 100 sq ft needs venue and fire marshal approval, fire watch may be required, and each covered structure needs a 2A10BC dry chemical extinguisher. Grouped tents may total no more than 400 sq ft without a 12 ft fire break, and a roofed structure over 400 sq ft with combustible contents needs sprinklers. For scale, 100 sq ft is one 10 by 10 ft footprint.

Display cars. No more than 5 gallons or a quarter tank, whichever is less, tanks locked, portable tanks removed. Batteries disconnected and the vehicle declared inoperable by the fire marshal. A qualified person must demonstrate the disabling at load-in, removing the key alone is not approved, and a vehicle on venue power through an inverter must be tested so it cannot start or go into gear. Alternative fuel vehicles need 30 days' notice. Spray cans and bottles for wax or interior dressing are not permitted.

Other clocks: multi-level booths 90 days, with a maximum of 9 occupants on the second level. Pyrotechnics 60 days. Fog and smoke 60 days, water-based only, with a fire watch. Aisles at least 10 ft, and nothing within 15 ft of an entrance or exit door.

The one that catches activations: pressure-adhesive stickers and decals may not be distributed in the facility. A branded sticker sheet at the simulator is a giveaway you cannot hand out at Palmer.

Spring 2029New Austin Convention Center opensDowntownSXSW 2029 as the first event

March 2027 is the window to avoid, and the reason is new. From 03/05 to 03/21/2027, a NASCAR weekend at COTA runs straight into nine days of SXSW EDU and SXSW: 17 days in all. SXSW used to fill the convention center. Now it fills hotels, with its music conference in The Thompson and The Westin and its film conference in The Driskill and the Stephen F. Austin. In March the meeting space you would book is a festival venue, and the rooms around it are festival rooms.

October stacks two festival weekends and a Grand Prix. If ACL follows its 2026 pattern, it fills the first half of the month, and F1 lands on 10/22 to 10/24/2027 with crowds that regularly exceed 430,000. Hold rooms early and ship early.

We found no 2027 citywide convention calendar from the bureau, which follows from a city without a convention center. Send us your dates and we will check them against this one.

Logistics

Getting around, with a highway being rebuilt through downtown

The airport is close and growing. The convention bureau puts Austin-Bergstrom about 7.5 miles and 15 minutes from downtown, with more than 75 nonstop destinations and about 200 daily flights. A first expansion phase due in 2026 adds 84,500 sq ft and three gates, and a concourse of at least 20 gates is expected as early as 2030.

I-35 is being lowered through the middle of the city. The state's Capital Express Central project lowers the I-35 mainlanes and removes the upper decks downtown. Its phasing graphic, marked tentative as of 06/11/2026, shows the Lady Bird Lake segment, Holly Street to SH 71 and Ben White Boulevard, under construction from 2025 to 2033, and the Downtown segment, Martin Luther King Jr. Boulevard to Holly Street, from 2027 to 2033. The downtown fact sheet says construction starts in 2026. We plan to the earlier date.

Why it matters for a load-in. A drainage tunnel and pump station at I-35 and Cesar Chavez Street is scheduled from 2025 to 2029, and Cesar Chavez is one of the crossings being rebuilt. The state posts I-35 closures on ctxgo.com and statewide closures on drivetexas.org. We check both the night before a truck rolls.

Race weekend at COTA has its own road rules. On F1 weekend COTA Blvd is limited to permitted vehicles and buses, rideshare is not permitted on it, and drop-off is in McAngus Lot. An activation at the track that weekend needs vehicle permits arranged, not assumed.

Transit and the road in. We have not verified a transit route to Palmer or the hotel campuses, so we publish none. Our fleet is based in Houston, so Austin is a road move for us, at the same price.

Outings

Taking a client out

Circuit of The Americas, for a group that wants the real track. COTA rents the full 20-turn circuit for manufacturer driving programs, race experiences, launches and brand events, and runs a separate driving experience with professional instruction in a BMW M performance car. Event spaces include the F1 pit lane garages, grandstand suites, a paddock loft and the Velocity Lounge. No prices or group sizes are published for the track, so this is a quote, not a booking.

COTA Karting, for the evening after strike. A 15-turn track on the COTA campus, open every day: 5:00 to 10:00 PM Monday to Thursday, noon to 10:00 PM Friday, 10:00 AM to 10:00 PM Saturday and 10:00 AM to 9:00 PM Sunday. Company outings get a private space and private races. Adult drivers must be 16 or older, at least 58 inches tall and licensed to drive, so check the team first.

K1 Speed Austin, for an indoor option in north Austin. Electric karts, private groups of 8 or more racers, and meeting rooms with screens and catering. Its page shows no weekday hours, so confirm the time.

Dinner: check the day before you book the name. Verified on 11/04/2026 against the 2026 Michelin Guide listings, the restaurants' own pages and local reporting:

  • Hestia, one star, downtown on West 3rd Street, live-fire cooking. Closed Monday and Friday, so the show team's end-of-week client dinner falls on a night it is dark.
  • InterStellar BBQ, one star, northwest Austin. Closed Monday and Tuesday, otherwise 11:00 AM to 4:00 PM, with a line before opening.
  • Franklin Barbecue, a Bib Gourmand on East 11th Street. Closed Monday, open from 11:00 AM until sold out, which its own site puts at 2:00 or 3:00 PM. Advance orders exist.
  • la Barbecue, one star in the first Texas guide, listed by local public radio in August 2025 as Wednesday to Sunday, 11:00 AM to 6:00 PM.
  • LeRoy and Lewis Barbecue, one star in the first Texas guide, listed in the same report with evening hours: until 9:00 PM most days and 10:00 PM Saturday, closed Tuesday.

The Austin trap is lunch. Three of the seven Austin restaurants starred in the first Texas guide in November 2024 were barbecue, and barbecue here is a lunch product that sells out. A client who wants Austin's most famous food wants it at noon on a day that is not Monday. If the only slot is dinner, book a room that serves dinner.

Near the venues. Terry Black's BBQ is on Palmer's road, at 1003 Barton Springs Road, and Garrison sits inside the Fairmont. Both were in the first Texas guide's selection. We did not verify either one's hours.

Racing

Austin is a Formula 1 town, and the audience knows it

Circuit of The Americas describes itself as the only purpose-built Formula 1 racing facility in North America. It has held the United States Grand Prix since 2012, its contract runs through 2034, and the race weekend regularly draws more than 430,000 people. The same campus hosts MotoGP in April and NASCAR in March, the latter on a 17-turn, 2.4-mile National Course rather than the full 20-turn circuit.

What that means for a simulator. Austin's racing identity is road racing: F1, MotoGP and a NASCAR race on a road course. An F1 cockpit or a GT car on a road circuit reads as native here, and an Austin audience is likely to include people who have been to the race. That raises the bar, because people who know the circuit can tell whether the experience feels right.

Name check. The track is Circuit of The Americas, with a capital The in its own usage. The NASCAR weekend's title is the Texas Grand Prix, a road race at COTA, not an oval. MotoGP's 2027 listing calls its race the Grand Prix of the United States.

Livery and the race marks. The official 2027 title is the Formula 1 Pirelli United States Grand Prix, the championship is announced with trademark symbols attached, and the NASCAR race title carries two sponsor names. Race names, series marks and the circuit name belong to their owners, so the safe livery language is generic: race week, Austin, the year. We did not research trademark registrations, so treat this as a caution, not legal advice.

Honest

Proof, stated honestly

We have not published a named Austin case study and we are not going to imply one. When we do, it will name the client, the venue and what they measured.

What is checkable today is the research. The labor, utility, fire, vehicle, rigging and load-in rules here come from Palmer Events Center's operational policy sections and exhibitor page, the official contractor's manual for a named 2026 show at Palmer, a 2026 expo prospectus, the Hilton Austin's September 2025 vendor loading document, official contractor freight pages for JW Marriott Austin shows, and the series, festival, state highway and convention bureau pages in our sources, all read on 11/04/2026.

What we could not confirm: whether an exhibitor may plug into venue-delivered power at Palmer; Palmer's hall dimensions, ceiling height, floor load, door sizes and freight elevator capacities, which sit in venue PDFs we could not open in this session; whether Palmer allows an exhibitor's own Wi-Fi or hotspot; any dock, elevator or electrical details for the Fairmont Austin; and the 2027 ACL Festival dates. An absence of a published rule is not a published permission.

Questions

Austin questions

Is the Austin Convention Center open?

No. It closed on 04/01/2025, just after SXSW 2025, and was demolished during 2025. The convention bureau says construction is on schedule to finish by late 2028 and the building reopens in spring 2029, in time for SXSW.

The new center is reported at 620,000 sq ft of rentable space with 28 underground loading docks, but no exhibitor manual exists yet, so there are no dock, labor or power rules to plan a 2029 show around.

Where do trade shows and corporate events go until it reopens?

Palmer Events Center is the city's remaining exhibit floor, with about 70,000 sq ft of column-free space in two halls. Larger meetings spread across hotel collections: the Fairmont, Hilton and Hotel Van Zandt as the Austin Red River Collection, the JW Marriott with the AustinPlace hotels, and the University Collection around the AT&T Hotel and Conference Center.

For a simulator build, Palmer behaves like a small convention center with a service yard. A hotel is a building with a freight elevator, and its door sets the limit.

Can our own staff set up the simulators at Palmer Events Center?

Yes. Palmer runs an open dock: exhibiting firm personnel may unload, install and dismantle their own exhibits. The official contractor's 2026 manual for a show there agrees that full-time employees, or approved exhibitor-appointed contractors, may set up without union labor.

No size or time limit is published, and we found no tenure or paystub test. What your crew may not do is make electrical service connections or touch wall and floor pockets.

Can we plug the rigs in ourselves at Palmer?

Not established, and we will not guess. Palmer holds all utilities exclusively, only its personnel may provide electrical service connections, and access to every wall and floor pocket is restricted to them. No policy page we could read says whether an exhibitor may plug into an outlet the venue has delivered.

We price as if a venue electrician may be needed and confirm in writing. On our side, equipment must be laboratory listed and every extension cord three-wire grounded at 14 gauge or better.

Can we use a dolly or a cart at Palmer?

A two-wheel dolly, yes. The official contractor's 2026 manual for a Palmer show allows hand-carry or a two-wheel dolly and bans four-wheel dollies, flatbed carts and other mechanical equipment. The venue provides no carts.

Anything heavier is the contractor's material handling. Its cartload service is one trip with 10 pieces or fewer, under 200 lb, from a privately owned vehicle only.

Can we ship to Palmer ahead of the show?

No. Palmer does not accept, store or ship freight before, during or after an event, and venue staff cannot sign for anything. Freight goes to the official contractor's warehouse.

For the 03/05/2026 college fair, freight was due at the warehouse by 02/25/2026 and banners by 02/18/2026, with three different cutoff times in the same manual. We ship to the earliest date and time.

Where does the crew park the van at Palmer?

Not in the service yard, under the venue's own policy. A 2026 show's page says vendors may park there if space allows and a 2026 expo contract says it is free until full, but we plan to the venue's rule: unload, then move the vehicle.

The 1,200-space garage next door has a 7 ft 2 in clearance, which rules out a high-roof van. The venue recommends its Riverside Drive entrance when there is traffic.

Can we put a car in the booth at Palmer?

Yes, under a fuel rule the venue writes two ways. Its vehicle section and the contractor's manual say no more than 5 gallons or a quarter tank, whichever is less. Its fire section, under compressed gases, says a tank permanently installed in a display vehicle must be completely empty.

We plan a gasoline car to the 5-gallon rule, bring any permanently installed gas tank in empty, and confirm with the fire marshal in writing. Batteries are disconnected, a qualified person demonstrates the disabling at load-in, and removing the key alone does not count.

Does a canopy over the simulators need fire marshal approval?

Over 100 sq ft, yes. The exhibits section requires venue and fire marshal approval for a covered booth over 100 sq ft, with a 2A10BC extinguisher in each covered structure and fire watch if required.

The fire section twice writes the threshold as over three hundred square feet (400 sq. ft.). We plan to 100 sq ft, one 10 by 10 ft footprint. Above 400 sq ft with combustible contents, sprinklers are required.

Will a simulator fit in an Austin hotel's freight elevator?

At the Hilton Austin we can say before we quote, because it publishes the numbers: a car 8 ft high, 8 ft wide and 17 ft deep with a 6,000 lb capacity, but a door opening of 7 ft 10 in. Every crated piece is measured on its dolly against 7 ft 10 in. The ballrooms are on the 4th and 6th floors.

We found no published elevator figures for the JW Marriott Austin or the Fairmont Austin. For those we ask for car size, door height and capacity in writing before we commit a configuration.

Can we ship directly to the JW Marriott Austin?

Plan on no. Official contractor freight pages for 2018 and 2024 shows there both say no direct shipments, and the 2024 page says the hotel cannot receive freight or store it. On the 2024 show the warehouse window closed five days before opening.

Power there is also not ours to order: for a 2026 conference in the Level 4 exhibit area, electrical and bandwidth went through the hotel's in-house technology partner, billed separately from us.

Can we run a networked leaderboard at Palmer?

Yes, through the venue. Data is an exclusive Palmer service. Wi-Fi is complimentary, and wired lines are sold with one wired DHCP IP address at 10 Mbps standard or 15 Mbps premium.

No Palmer document we read addresses an exhibitor's own Wi-Fi or hotspot. With data exclusive, we order the wired line rather than assume a hotspot is allowed.

When should we avoid booking Austin?

March 2027 first. From 03/05 to 03/21/2027, a NASCAR weekend at COTA runs into SXSW EDU and SXSW, 17 days in all, and SXSW now runs inside downtown hotels, so the meeting space you would book is a festival venue.

October second. ACL ran two October weekends at Zilker Park in 2026, with 2027 dates not yet published, and Formula 1 is at COTA on 10/22 to 10/24/2027. MotoGP adds a third race weekend on 04/23 to 04/25/2027.

Does the price change in Austin, and what sits outside it?

No. A half day of 4 service hours is $5,479 per rig and a full day of 8 hours is $5,919 per rig, including delivery, setup, one on-site technical event manager per simulator, teardown and insurance, with freight inside the price. A contract signed 3 to 4 weeks out adds $300 per staff, 2 to 3 weeks out adds $600 per staff, and inside 2 weeks we do not take the booking.

Outside it is whatever the venue holds exclusively. At Palmer that is utilities and data, billed by the venue, plus material handling, rigging and furniture through the official contractor. You supply power, tables, chairs and TV stands, so the total can arrive on two or three invoices.

Where should we take a client to dinner?

Check the day first. Hestia, starred in the 2026 guide, is closed Monday and Friday. InterStellar BBQ, also starred, is closed Monday and Tuesday and shuts at 4:00 PM. Franklin Barbecue is closed Monday and sells out around 2:00 or 3:00 PM.

Three of Austin's seven original starred restaurants were barbecue, and barbecue here is lunch. For dinner, book a dinner room, or LeRoy and Lewis Barbecue, which local reporting lists as open until 9:00 PM most days and closed Tuesday.

Will the I-35 construction affect our load-in?

It can. The state is lowering the I-35 mainlanes and removing the upper decks downtown, with the Lady Bird Lake segment under construction from 2025 to 2033 and the Downtown segment shown from 2027 to 2033, though its downtown fact sheet says 2026. A drainage tunnel at I-35 and Cesar Chavez Street runs from 2025 to 2029.

We check ctxgo.com and drivetexas.org the night before a truck rolls, and at Palmer we use the Riverside Drive entrance the venue recommends in traffic.
