Race simulator rental in Nashville

In shortNashville's convention center is its own exclusive electrician, internet provider, rigger and caterer, while installation and freight run through whichever contractor your show hired. The documents that govern a build here disagree on vehicle fuel, covered booths, elevator widths and even which company does the rigging.

We ship rigs into Nashville and staff them. Freight is inside the quoted price, and the price is the same here as anywhere else in the continental US.

Nashville reads as an easy right-to-work market with a modern building, and in places it is. It is also a market where the building sells its own power and writes that no one but its electrician makes a connection, where the dock doors are listed at 8 ft square, and where the fuel limit for a car on the floor depends on which live document you open.

Jurisdiction

Right-to-work, but the building owns the wires

Music City Center's event planning guide, updated 08/2026, says Tennessee is a right-to-work state, allowing licensees to obtain labor services at the best rates and service levels available. True, and incomplete. The same guide lists the services the building keeps for itself, and the 2026 show pages we read here split everything else between the show's contractor and the venue.

The model to hold: the venue is its own utility company. Power, water, compressed air, gas, internet, rigging, catering, EMTs and move-in security come from Music City Center or its named partner. Installation and material handling come from your show's general service contractor, and that changes by show: Freeman at one 2026 show in the building, Shepard at another. The venue's own services were the same at both.

From the venue's event planning guide (updated 08/2026), its services, utilities, rigging and technology pages, and exhibitor pages for 2026 and earlier shows in the same building, verified 11/04/2026.
FunctionWho holds itWhat it means for a simulator build
Electrical, compressed air, water and gasMusic City Center, exclusiveThe venue is the electrician, and its written terms say no one else makes a connection. See the next section
Internet and telecommunicationsMusic City Center, exclusiveA networked leaderboard needs a wired line from the venue. The venue calls its free Wi-Fi an unmanaged service
Rigging, and anything attached to the buildingMCC Rigging, operated by Convention Production Rigging, Inc., exclusiveCovers aisle signs, clings and floor decals as well as hanging signs. Load calculations are due 21 days before installation
Food and beverageSodexo Live!, operating as the venue's food and beverage department, exclusiveNo outside food or drink. A 2026 show here spelled out that this includes pre-packaged snacks and plastic water bottles
EMTs and move-in and move-out securityMusic City Center, exclusiveA show that uses a marshaling yard must also hire security until the last vehicle has left
Material handling, dock to boothThe show's general service contractor, exclusiveAnything a carrier delivers is unloaded by the contractor and billed, even if it would fit on a dolly
Installation and dismantleThe show's general service contractor, not exclusiveExhibitor-appointed contractors are allowed with paperwork. One show page here limited contractor set-up to local stagehand union members

Where that leaves a simulator build. When we install rigs in your booth we are not your employees. A show manual at this building defined an exhibitor-appointed contractor as any individual who is not a full-time employee of your company. So your show's contractor rules govern our crew, not the right-to-work sentence: a form, insurance certificates, at one 2026 show a rendering and a risk assessment, and at one earlier show, set-up and dismantle by members of the local stagehand union only. We read your show's version before we commit a crew plan.

Electrical

The building is the electrician

The 2026 planning guide says Music City Center provides exclusive electrical and utility services. The fullest terms we could read outside the venue's ordering portal, its own electrical order form as distributed for a 2020 show, go further: the Music City Center serves as its own exclusive utility service provider, and under no circumstances shall anyone other than MCC's electrician make electrical connections.

Your technicians may run the equipment. The same terms let company engineers or technicians assemble, service, prepare and operate special equipment without an MCC electrician. All service connections and overload protection to that equipment are made by an MCC electrician.

The price buys power to the booth, not into the rig. Connection rates cover bringing one service connection to the booth in the most convenient manner for the venue's electricians, and do not include connecting equipment or wiring.

Read together, the terms never say in words whether an exhibitor may push a standard 120-volt plug into the outlet the venue delivered. We do not guess. We ask the venue in writing, and until it answers we plan as if a venue electrician makes every connection behind the rig.

  • Building wall outlets are not part of the booth and are not for exhibitor use.
  • Power left on overnight is billed as 24-hour service at an extra 50 percent. A rig left running for an overnight update counts.
  • Overhead power distribution must be requested 10 working days before the first move-in day, and exhibitors furnish their own 208V and 480V plugs.

What the floor gives you. The exhibit hall has 352 floor boxes on 30 ft centers, each published with 208/120V three-phase 100 amp pin and sleeve, two 30 amp and one 20 amp circuits, and a 6 in bailout for 480V. Standard placement is the back of an inline booth or the center of an island. Anywhere else adds one hour of engineering labor per drop, and every high-voltage placement carries two hours. The July 2026 price guide publishes that labor at $70 an hour on advance orders and $100 on the floor, with advance orders and payment due 14 days before the first move-in day.

Under our standard terms the client supplies power. In Nashville that means an order to the venue before that date, not a power strip borrowed from the hotel.

Contradictions

Four fuel rules, and the other documents that disagree

We publish contradictions rather than pick the convenient version. Nashville's venue documents are recent and mostly well kept, and they still disagree on questions that change a build.

From the venue's planning guide, floor plan guide, rigging terms, catering menu and electrical terms, exhibitor pages for two 2026 shows in the same building, and the resort convention center's exhibitor terms. All read and verified 11/04/2026.
QuestionWhat the live documents sayWhat we plan to
Vehicle fuel levelThe planning guide says no more than 5 gallons or 25 percent of capacity, whichever is less, and in the same paragraph no more than half full or 10 gallons, whichever is less. A 2026 home show in the building says a quarter tank, citing the Tennessee State Fire Marshal. Gaylord Opryland's terms say one eighth of a tank, by order of the fire marshalOne eighth of a tank and under 5 gallons, in either building. All four agree on a disconnected battery and a locked or taped fuel cap
Covered boothThe guide puts canopies over 400 sq ft under a fire department permit, with a smoke detector and extinguisher per 400 sq ft covered. A 2026 show in the building requires both for any booth with any covering, regardless of sizeAny roof gets a detector and an extinguisher. Over 400 sq ft we also plan the permit
Width of the two 6,000 lb freight elevatorsThe planning guide and the Grand Ballroom page say 7 ft 8 in. The Davidson Ballroom page of the same floor plan guide says 10 ft7 ft 8 in. Planning to the narrower figure costs nothing
Load per exhibit hall rigging pointThe planning guide says hang points hold up to 2 tons each. The floor plan guide says 6,000 lb per pointNot our call. Load calculations go to the rigging partner 21 days out and it decides
Who rigsThe venue says rigging is exclusive to its rigging partner. One 2026 show's display rules say rigging is done by Freeman and Encore exclusively, then two lines later that MCC Rigging is responsible for all of itThe venue's rigging partner. A building exclusive outranks a show page
Which door hand-carry usesThe venue's guide says nothing moves in through the main entrance areas without event manager approval. A 2026 show told hand-carrying exhibitors they must use the main entranceAsk the show, in writing, which door it has cleared with the venue
Sales tax9.25 percent in the planning guide, 9.50 percent with a downtown district fee on the electrical form, 9.75 percent on the catering menu and 10.25 percent on rigging equipment rentalsWe do not quote venue tax. The venue's invoice governs, and it is a separate invoice from ours

One more thing about the record. The venue moved to nashvillemcc.com. The old domain redirects for the homepage, but PDFs at the old paths return not found, and a 2026 show page still prints the old address. Another 2026 show page linked booth internet ordering to a Las Vegas venue's portal and gave the business center's hours in Pacific time. Order from the venue's own portal, not a link in a show page.

Load-in

Getting in: 8 ft doors, three elevators and a bridge to avoid

The dock is big. Its doors are not. Music City Center has 32 docks, three drive-in ramps and three dock levelers rated at 60,000 lb, assigned in proportion to the space leased. The venue's floor plan guide lists the dock doors at 8 ft wide by 8 ft high. A crate taller than that is a drive-in ramp conversation, and the venue publishes no ramp dimensions, so we ask.

Read the venue's truck map before the driver does. The planning guide's loading dock map marks a bridge near 8th Avenue and Lafayette Street at 12 ft 7 in, with the words do not attempt. The venue's own marshaling yard, Lot N at 501 S 2nd St, is not beside the building: the map routes trucks between them by Korean Veterans Boulevard, 2nd Street and Sylvan Street.

Who enters where. All event personnel and contractors use the Contractor Entrance at 700 Korean Veterans Boulevard on the south side, which is also the delivery address. Nothing moves through the main entrance areas without event manager approval, lobby floors are covered in plastic sheeting before anything rolls across them, and duct tape is banned.

Wheels. At a 2026 show in the building, hand-carry meant small items an exhibitor can carry, with help limited to a small dolly: no pallet jacks, no motorized devices, and no entry to the material handling areas. Anything a carrier delivers is unloaded by the show contractor and billed. A crated simulator is freight.

Timing and kit. The venue accepts no advance shipments before the contracted move-in date and refuses C.O.D. deliveries. Commercial trucks may stay at the docks overnight and personal vehicles may not. At one 2026 show, nobody entered during move-in without closed-toe shoes and a high-visibility vest, and work 6 ft or more off the floor needed a hard hat with a chin strap. The show did not supply them.

From the venue's event planning guide (updated 08/2026) and its current floor plan guide, verified 11/04/2026. The guide also gives the large elevator's inside dimensions with doors closed as 117 by 235 by 120 in, which does not match its own 9 ft 8 in headline height.

Fire

Fire: any roof, any car, and a one-month clock

The clock starts early. The venue's guide wants floor plans with the event manager at least one month before the first move-in day, and the fire marshal requires the floor plan to be approved before booth space is sold. Changes go back for approval, and moving a utility because the plan changed is billed. The hall layout is fixed long before most clients settle their rig count.

Covered booths. The guide allows canopies over 400 sq ft by permit, with plans and flame-proofing certification filed with the fire department, temporary sprinklers possible at the exhibitor's expense, and a smoke detector with an audible alarm plus a 2A10BC extinguisher for every 400 sq ft covered. A 2026 show in the same building asked for both on any booth with any covering, regardless of size. We plan to that reading: a branded canopy over a simulator row gets a detector and an extinguisher, whatever its size.

Height. Any display fixture over 12 ft makes the booth a multi-story exhibit in the guide's terms, which the city treats as a structure needing a building permit from a licensed architect's or engineer's drawings. Platforms people stand on stay at 6 ft or under. One 2026 show capped island booths at 16 ft.

Vehicles and machinery. No vehicle may be displayed or driven in the lobby or prefunction areas, loading one in the hall needs venue authorization, and the guide publishes no rule at all for electric vehicles. It also says equipment with moving parts that could injure people nearby must be secured as venue management deems necessary. A motion simulator is that kind of equipment. Every rig we bring has its own on-site technician, which is part of the price, and we raise the rest with the event manager before move-in.

Also banned inside the building: liquefied petroleum gas, oil-based fog or haze, drones, hoverboards and helium balloons. Any haze needs a fire watch, including during testing.

Venues

Gaylord Opryland: power from the ceiling, a 16 ft lid

Nashville's other convention venue is a resort with its own rules. Gaylord Opryland's facility guide lists 2,888 guest rooms and 263,772 sq ft of contiguous exhibition space on Level 0 in the Ryman Exhibit Hall, 10 minutes from the airport by its own description.

Check the ceiling first. Ryman Exhibit Hall B is listed at 16 ft high and Hall C at 19 ft, against 32 ft 6 in downtown. A tall header or hanging sign that works at Music City Center may not fit here.

Power arrives the other way round. The resort's exhibitor electrical terms, from a 2022 show and the newest we could read, say all exhibit hall power comes from the ceiling: inline booths get it on the floor at the back, island booths get it dropped from above. They also say the resort does not supply labor for connecting or running electrical inside the booth and is not a source of electrical set-up labor. That is close to the opposite of the downtown terms.

Motors need consent. The same terms say engines, motors or any kind of equipment may be operated only with the consent of the resort's director of conference services or exhibit hall manager. A motion rig has motors, so we ask in writing. The resort also carries the strictest fuel rule in the city, one eighth of a tank, sends early shipments to the drayage contractor's warehouse at the exhibitor's expense, and supplies any food given away at a booth.

From each venue's own floor plan guide, facility guide, exhibitor terms or rental page, verified 11/04/2026. The resort's facility guide is undated and its electrical terms are from a 2022 show.

Calendar

The calendar, and the ten days in June to avoid

Music City Center publishes its own calendar with an expected attendance figure for each event, which is rarer than it should be. The attendance figures below are the venue's, not ours.

Music City Center events and attendance figures from the venue's own calendar, race dates from the track's event pages, and CMA Fest dates from the convention bureau and local reporting. Verified 11/04/2026.

The window to avoid is 06/04 to 06/13/2027. A NASCAR Cup weekend at the superspeedway runs straight into CMA Fest, the first one in the new stadium, and the convention bureau's own CMA Fest page warned in 2026 that stadium construction made parking extremely limited. We could not confirm where the 2027 fan experience will be. If your event falls in that window, book hotels and freight first.

The building is full, and the venue says so. Its expansion page states that demand for space is outpacing availability. A feasibility study released in June 2025 recommended 587,000 more sq ft, and on 06/09/2026 the convention center authority announced the purchase of a 1.3-acre site less than a block away at 811 McGavock Street. Site selection is the next step and no further plans have been made. Nothing new opens in time for a 2027 event, so hold dates early.

Hotels

Where to stay

The venue's planning guide publishes which entrance each nearby hotel's guests should use, which is more useful than a distance. It describes no covered connection from any hotel to the halls, and we could not confirm one anywhere else.

Addresses from the venue's hotel page and entrance points from its planning guide, verified 11/04/2026. No covered route to the exhibit halls could be confirmed for any downtown hotel. We publish no rates.

Logistics

Getting around, and an interchange ranked seventh nationally

Nashville's freight problem is the interstate ring, not the downtown grid. The American Transportation Research Institute's 2026 list of the 100 worst truck bottlenecks in the country, published 02/17/2026, includes four in Nashville: I-24/I-40 at I-440 (East) at number 7, with a peak-period average truck speed of 26.8 miles per hour, I-40 at I-65 (East) at number 19, I-65 at I-24 at number 49 and I-65 at SR 386 at number 67. In the 2021 edition the same I-440 interchange ranked 13th. It has moved the wrong way. Plan dock arrival windows outside the peaks, and do not land your only crew on install morning in early June.

  • The street was renamed. Fifth Avenue beside the building is now Rep. John Lewis Way, and the venue's address is 201 Rep. John Lewis Way South. The venue's own 2020 electrical form still asked for mail to 201 5th Avenue South.
  • Deliveries and crew go to 700 Korean Veterans Boulevard, not to the main entrance address.
  • Shuttle and drop-off points are on Rep. John Lewis Way, 6th Avenue, Demonbreun Street and Korean Veterans Boulevard, with a covered drop-off and a taxi stand on the venue's map.
  • The garage takes no trailers. The venue's 1,800-space garage allows no trailer parking and no in-and-out on one ticket.
  • The resort is a different trip. Gaylord Opryland describes itself as 10 minutes from Nashville International Airport. Downtown publishes no such figure, and we did not research public transit to either building for this page.
Outings

Taking a client out

Nashville Superspeedway, Lebanon. A 1.33-mile concrete D-shaped oval with 14 degrees of banking, which the track calls NASCAR's largest all-concrete venue. Its corporate products are race-day products: a reserved 25 ft by 50 ft Turn 4 Overlook with 20 passes and dedicated parking, a 55 ft by 50 ft Pit Road Premium Hospitality space with 30 infield passes, 15 infield parking passes and 30 pre-race track passes, and suites. It publishes no prices and nothing about non-race days, and lists third-party driving experiences and track-day clubs without dates.

Lane Motor Museum, 702 Murfreesboro Pike. More than 150 vehicles on a main floor of about 40,000 sq ft in a 1950s former bakery, from what the museum calls the largest European automotive collection in the US. It seats 350 for dinner or holds 1,000 standing, runs free vehicle demonstrations at 11:00 AM on Saturdays and Sundays, and parks on site for free. It is closed to the public on Tuesdays and Wednesdays. For a car-literate client it is the strongest non-race-day option we found.

Nashville Fairgrounds Speedway. The city's short track still runs a local season, and spring 2026 reporting had Dale Earnhardt Jr. entered in a CARS Tour late model race there in April, his first appearance at the track since 1999. Nothing we read describes corporate packages, so treat it as a ticketed night at the races.

The resort's own venues. Gaylord Opryland's facility guide lists the Grand Ole Opry House at 4,372 seats as a bookable event venue.

Check the day before you book the name. The 2026 MICHELIN Guide American South selection, announced 10/22/2026, gives Nashville three one-star restaurants: Bastion, Locust and The Catbird Seat. A current listing shows The Catbird Seat, a 15-course tasting menu around a U-shaped counter at 700 8th Avenue South, closed Monday and Tuesday. A listing dated 05/18/2026 describes Locust as serving Friday to Sunday. Both are third-party listings, so confirm with the restaurant.

The trap is the shape of a show week. A team that arrives Sunday, builds Monday and hosts a client Tuesday finds The Catbird Seat closed on both nights, Locust not serving until Friday, and Lane Motor Museum closed to the public. The same selection lists eight Nashville Bib Gourmand restaurants, including St. Vito, Kisser, Redheaded Stranger and S.S. Gai, which widens the midweek options.

Racing

Racing here is real, and it is changing

Nashville's brand is music, and we will not pretend otherwise. The racing underneath it is real. A NASCAR Cup race runs every year at Nashville Superspeedway in Lebanon, an oval owned by Speedway Motorsports. IndyCar raced there for three years, most recently on 07/19/2026 as the Borchetta Bourbon Music City Grand Prix, a prime-time race scheduled after FOX's broadcast of the World Cup final. And a provision of the Metro charter requires racing at the fairgrounds, which is why a short track survives in the middle of the city.

What changed for 2027, and what most pages still have wrong.

  • IndyCar is not on the 2027 calendar in Nashville. RACER reported on 10/22/2026 that the superspeedway will not be on the 2027 schedule, and the promoter said his focus is on returning to the downtown streets. No downtown date has been announced.
  • The race name changed. It ran in 2026 as the Borchetta Bourbon Music City Grand Prix, and older listings still carry a previous sponsor's name.
  • The Cup race moved a week. It ran on 05/31/2026 and is listed for 06/06/2027, the weekend before CMA Fest.
  • The fairgrounds deal is not done. A 2025 proposal had Speedway Motorsports renovating the track, with a bond package cut to $30 million and a target of NASCAR's return by 2027. Later reporting described the redevelopment as stalled, with a lawsuit pending and the community split. The last Cup race there was on 07/14/1984. Do not sell a client on a 2027 Cup race at the fairgrounds.

Where the honest line sits. A simulator reads as native at a Nashville event when it is tied to the superspeedway weekend or put in front of a car-literate audience. For a client who wants the real thing on race day, the track's own hospitality is the better call than a simulator, and we will say so. For a general Nashville corporate audience, music is the main story and a race simulator is a strong second act rather than the theme.

Branding

Branding: the famous names that are registered marks

Several of Nashville's most famous names are registered marks, not place names. Gaylord Opryland's own facility guide prints a registered trademark symbol after Grand Ole Opry, Ryman Auditorium, Wildhorse Saloon, General Jackson and Gaylord Springs, and after Gaylord Opryland itself. A 2024 show page at Music City Center did the same for Nashville International Airport. None of them belong on a simulator wrap, a leaderboard title or the name of a heat.

Race and festival names belong to someone. The IndyCar race has run under more than one sponsor name, and CMA Fest is the Country Music Association's event. Name the activation for your brand, not theirs.

The building has branding rules of its own. Anything attached to Music City Center, including aisle signs, clings and floor decals, goes through the venue's rigging partner, floor clings must be non-slip and from its approved materials list, nothing may sit within 6 in of the building's public art, and handouts stay inside leased space. Keep branded graphics on your own booth flooring rather than on the venue's floor.

Honest

What we can prove here, and what we cannot

We have not published a named Nashville case study and we will not imply one. Equation Events has run corporate event activations since 2016, and when we publish a Nashville case it will name the client, the building and the number it was measured on.

What is checkable today is the research. The jurisdictions, electrical terms, dock and elevator figures, fire rules and calendar on this page come from Music City Center's planning guide, floor plan guide, services pages, price guide, rigging terms and catering menu, from exhibitor pages for 2026 shows in the building, from Gaylord Opryland's facility guide and exhibitor terms, and from the track, the convention bureau, the museum and the state tourism department, all read on 11/04/2026. Where they contradict each other we have published every version and said which one we plan to.

What we could not confirm: whether an exhibitor may plug a 120-volt cord into a venue-delivered outlet at Music City Center; the venue's current electrical terms, which sit behind its ordering portal; a 2026 or 2027 statement of self-install rights for exhibitor employees, which we found only in a 2021 show manual; any rule on exhibitor-run wireless networks; a current version of the resort's exhibitor terms; and whether stadium construction affects the venue's marshaling yard. A missing rule is a missing rule, not a permission.

Questions

Nashville questions

Can our own staff set up the simulators at Music City Center?

Your full-time employees, very likely yes. The clearest written statement we found is in a 2021 show manual at this building: full-time employees of the exhibiting companies may set their own exhibits without the assistance of the local stagehand union, and labor beyond that comes from the union or an exhibitor-appointed contractor.

We could not find the same sentence in a 2026 or 2027 document, so treat it as the building's custom rather than a current guarantee, and check your show's kit. At no show here may your staff do electrical work behind the venue's delivered service or attach anything to the building.

Does our simulator crew count as our staff or as a contractor?

A contractor. A show manual at this building defines an exhibitor-appointed contractor as any individual who is not a full-time employee of your company, and our technicians are not your employees.

At a 2026 show in the building that meant a booth rendering, a risk assessment and insurance certificates from both exhibitor and contractor, with no contractor access until the exhibitor's insurance was approved. At a 2023 show it meant only local stagehand union members could provide contractor set-up and dismantle.

Our general liability is $6M per occurrence and $8M aggregate. The show documents we read that stated a limit asked for $1M per occurrence and $2M aggregate, with the venue named as additional insured.

Can we plug the rigs in ourselves?

The documents do not answer it in words, and that is the finding. The venue's own terms say no one other than MCC's electrician makes electrical connections, yet price the connection as bringing service to the booth only, not connecting equipment or wiring. Technicians may assemble and operate special equipment, while service connections and overload protection belong to the venue's electrician.

So we ask the venue in writing who makes the final connection in your booth, and plan as if it is their electrician until it answers. Power itself is ordered from the venue's portal, not the show contractor, with advance orders and payment due 14 days before the first move-in day.

Can we use a dolly or a cart?

A small dolly, for hand-carry only. At a 2026 show in the building, hand-carry meant small items an exhibitor can carry, motorized devices and pallet jacks were not permitted, and hand-carriers could not enter the material handling areas. Anything a carrier delivers is unloaded by the show contractor and billed, so a crated simulator is freight whatever it weighs.

Settle the door first. That show told hand-carriers to use the main entrance, while the venue's guide says nothing moves through the main entrance areas without event manager approval.

Can we put a real car in the booth?

Yes, with approval, and with the strictest fuel rule in the city, because four live documents give four limits. The venue's guide says 5 gallons or 25 percent of capacity, whichever is less, and in the same paragraph half full or 10 gallons, whichever is less. A 2026 home show in the building says a quarter tank, citing the Tennessee State Fire Marshal. Gaylord Opryland says one eighth of a tank.

We plan to one eighth of a tank and under 5 gallons in either building, with the battery disconnected and the fuel cap locked or taped, which every document agrees on. Loading the car in the hall needs venue authorization, the lobby is off limits, and the venue publishes no rule for electric vehicles.

Does a canopy over the simulators need fire approval?

Plan as if it does at any size. The venue's guide puts canopies over 400 sq ft under a fire department permit and asks for a smoke detector with an audible alarm and a 2A10BC extinguisher per 400 sq ft covered. A 2026 show in the building asked for both on every booth with any covering, regardless of size, and that is the reading we plan to. Any fixture over 12 ft also makes the booth a multi-story exhibit, which needs a city building permit.

Will the freight elevator take a rig up to the Grand Ballroom?

The 12,000 lb car will, and it is the car to ask for: 10 ft wide by 19 ft 8 in deep by 9 ft 8 in high. The two 6,000 lb cars are the risk, published at 7 ft 8 in wide in two places and 10 ft wide in a third. We plan to 7 ft 8 in.

The venue schedules all freight elevator use, so a ballroom build needs an elevator slot as well as a dock slot. The ballroom floor is rated at 150 lb per sq ft, against 350 in the exhibit hall.

How do trucks get into Music City Center?

Through the freight entrance on the Korean Veterans Boulevard side, to 32 docks with doors listed at 8 ft by 8 ft. The delivery and contractor address is 700 Korean Veterans Boulevard.

Give the driver two things: the venue's map marks a bridge near 8th Avenue and Lafayette Street at 12 ft 7 in with the instruction do not attempt, and the venue's marshaling yard, if your show uses it, is Lot N at 501 S 2nd St. Other shows have used their own contractor's yard instead, such as a 2021 show that sent carriers to Visco Drive, so your show kit decides.

Can we hand out water or snacks to people waiting in line?

Not unless you buy them from the venue. The caterer holds the exclusive right to all food and beverage in the building, and a 2026 show here spelled out that this covers pre-packaged snacks, plastic water bottles and candy. The venue's exhibitor menu wants booth catering orders 15 business days ahead and adds 25 percent after that.

Can we run a live leaderboard on the venue's Wi-Fi?

We would not. The venue calls its free Wi-Fi an unmanaged service and tells exhibitors who need more to buy a wired connection, which is an exclusive venue service ordered on the same portal as power. We could not find a published rule on exhibitors running their own wireless network, and an absence of a rule is not a permission, so we ask.

Is Gaylord Opryland run the same way as the downtown center?

No. The Ryman Exhibit Hall ceilings are listed at 16 ft in Hall B and 19 ft in Hall C, against 32 ft 6 in downtown. Exhibit hall power comes from the ceiling, and the resort's 2022 terms say it does not connect or run electrical inside a booth, where the downtown terms reserve every connection to the venue.

Engines, motors or any equipment may run only with the consent of the resort's conference services director or exhibit hall manager, which covers a motion rig, and displayed vehicles carry a one eighth tank limit. Those terms are the newest we could read, so we confirm them against your show's kit.

When should we avoid booking Nashville?

06/04 to 06/13/2027. The NASCAR weekend at Nashville Superspeedway runs 06/04 to 06/06/2027, and CMA Fest follows on 06/10 to 06/13/2027, the first one inside the new Nissan Stadium.

Outside June, the venue's own calendar points to the weeks with its biggest figures: HYROX at 30,000 in December 2026, Safari Club at 18,000 in January, St. Jude Rock 'n' Roll Nashville at 27,000 in April and the Bitcoin Conference at 20,000 in July.

What racing is there in Nashville in 2027?

A NASCAR weekend at Nashville Superspeedway in Lebanon, with the Cracker Barrel 400 on Sunday 06/06/2027 at 6:00 PM. IndyCar is gone for 2027: RACER reported on 10/22/2026 that the superspeedway is off the schedule after the 07/19/2026 race, and no downtown street race date has been announced.

NASCAR's return to the fairgrounds short track is not settled. A 2025 proposal targeted 2027, but later reporting described the redevelopment as stalled with a lawsuit pending. The last Cup race there was on 07/14/1984.

Where should we take a client to dinner during a show week?

Somewhere open on the night you need it. Nashville's three MICHELIN one-star restaurants in the 2026 selection are Bastion, Locust and The Catbird Seat, and current third-party listings show The Catbird Seat closed Monday and Tuesday and Locust serving Friday to Sunday, so confirm directly.

For a midweek dinner the same selection lists eight Nashville Bib Gourmand restaurants, including St. Vito and Kisser. For a car-minded client, Lane Motor Museum seats 350 for a private dinner, but it is closed to the public on Tuesday and Wednesday, so book it as an event.

What does venue labor cost at Music City Center?

The venue publishes two of its own rates. Electrical engineering labor is $70 an hour on advance orders and $100 on the floor. A rigger from the venue's rigging partner is $119 an hour on weekdays from 8:00 AM to 5:00 PM, $178.50 on weekday evenings to midnight and all weekend, and $238 from midnight to 8:00 AM and on holidays, including Christmas Eve and the Friday after Thanksgiving.

Installation and material handling rates belong to your show's contractor and sit in its kit. Those charges arrive on the venue's and the contractor's invoices, not ours.
