Planning

In shortSpace, power, venues, paperwork, licensing and sizing. Published per configuration where we have measured, and openly marked where we have not.

The logistics answers a planner needs before they can budget an activation, published rather than held back for a call.

Most activations that go wrong do not go wrong on the floor. They go wrong at the dock, over something that could have been confirmed weeks earlier.

Topics

The planning set

Space requirements. Published per configuration. VR is 10 by 10 recommended, 8 by 8 minimum.

Power requirements. One dedicated circuit per rig. The most avoidable load-in failure there is.

Venues and load-in. Dock access, freight elevators, union labor and the COI deadline.

Insurance and paperwork. $6M / $8M, and the document chain in the order it bites.

Commercial licensing. Why personal-use software at a sponsored event is a different license.

How many simulators. Queue tolerance, not headcount.

Honest

What we publish and what we do not, yet

One configuration, the VR rig, has a complete specification record and its numbers are published. The other four are being measured rather than estimated, and each publishes when its record is complete.

That is slower than writing a plausible number and it is the entire difference between this site and the rest of the category, where one footprint is published for an entire fleet and the published figures contradict each other.

Questions

Common planning questions

What do you need from us to plan an event?

Floor space, a dedicated circuit per rig, a load-in window and door access. Everything else is ours, including the certificate of insurance your venue will ask for.

How long does planning take?

Up to three hours of our time is included in every booking, spread across the weeks before the event. It ends with a Client Event Plan you sign off, and graphics and prizes lock four weeks out.

What is the most common thing that goes wrong?

Power. Not the rig drawing too much, but the circuit being shared with stand lighting and a coffee machine. It is entirely avoidable and it is why power confirmation is a named planning step.

Can you work with our venue's rules?

Yes, and we plan to them rather than arguing with them. Tell us the venue early, because a preferred-vendor restriction or a dock requirement is much better discovered four weeks out than four hours out.
